The Alaka`ina Foundation Family of Companies (FOCs) is looking for a Course Support Administrator to support our government customer located in Wright-Patterson Air Force Base, Ohio.

DESCRIPTION OF RESPONSIBILITIES:

  • Provide administrative and technical support to the USAFSAM/FEEE Course and Program Directors and Instructors with day-to-day operations, management of professional courses and workshops.
  • Assist staff in organization and transmittal of day-to-day data and information.
  • Perform administrative activities to include answering telephones, electronic correspondence and documentation, working with USAFSAM/ED on administrative documentation requirements of USAFSAM/FEEE courses, prepare, review, and edit written correspondence and the maintenance and updating files and records.
  • Assist course instructors with lectures, teaching materials and administrative requirements.
  • Serve as the initial point of contact for updating the USAFSAM Aerospace Medicine Education Branch portions of the Air Force Knowledge Exchange webpages.
  • Assist the Share Point Manager and Technical Expert.
  • Serve as the Livelink Knowledge Manager.
  • Work with internal computer programs such as Education Training Management System (ETMS), Travel Request System (TRS), Defense Travel System (DTS), Management Internal Control Toolset (MICT), Virtual Personnel Center (vPC), Sharepoint, and LiveLink.
  • Prepare, coordinate, and submit travel requests through various electronic systems such as Education Training Management System (ETMS) and Travel Request System (TRS).
  • Assist in maintaining the Continuing Medicine Education CME database for students attending USAFSAM/FEEE courses.
  • Assure confidentiality of documents, communications, and data related to the duties above.
  • Monitor office supplies and request replenishment of office supplies in a timely manner.
  • Provide administrative and technical support to the USAFSAM/FEEE Course and Program Directors and Instructors with day-to-day operations, management of professional courses and workshops.
  • Support or provide direct administrative and technical support to all USAFSAM/FEE Graduate Medical Education (GME) programs.
  • Provide administrative support of Graduate Medical Education (GME) principal investigators (PIs) at USAFSAM to include receiving research protocols, surveying protocols to ensure they are properly formatted, transferring protocols to the IRB Administer for review, documenting actions into the database, sorting and/or tabulating spreadsheet data, filing and maintaining archived records, answering non-technical questions from the investigators, and performing general clerical and administrative duties.

REQUIRED DEGREE/EDUCATION/CERTIFICATION:

Must have either an associate's degree or a minimum of four (4) years' experience as an academic administrative assistant.

REQUIRED SKILLS AND EXPERIENCE:

  • Three (3) years' experience as an administrative program manager
  • Working knowledge of Microsoft Office programs such as Access, Excel, Word, PowerPoint, and Visio in addition to Adobe Acrobat 10X.
  • Advance typing skills, extensive organizational skills and the ability to work independently.
  • Proficiency in the use of Microsoft Office software to include advance Excel functions, PowerPoint, Adobe, and Advanced document management tools.
  • Experience with Share Point to include the ability to build and maintain a Share Point site.

DESIRED SKILLS AND EXPERIENCE:

Administrative assistant experience in a military setting is highly desired.

REQUIRED CITIZENSHIP AND CLEARANCE:

  • Must be a US citizen.
  • Must be able to pass a Tier 1 /NACI background check.
