Nestled in the Southern Appalachian Mountains just south of Asheville, The North Carolina Arboretum offers acres of cultivated gardens and groomed trails featuring some of the most beautiful, botanically diverse plants in the region. We are currently seeking a part-time Finance Assistant. The position will work for up to 35 hours per week and have a pay rate of $20.00 per hour. This is a temporary position as defined by the State of North Carolina and can work 11 out of 12 months each year. An affiliate of the University of North Carolina, the Arboretum contains formal gardens, informal gardens, Greenhouse and Support Facility, Visitor Education Center, Operations Center and more than 10 miles of trails. The North Carolina Arboretum Society is a thriving non-profit with a sole purpose of helping The North Carolina Arboretum further its mission. This position will primarily be working in Society financial matters but will occasionally aid in all financial functions.
This will be an hourly part-time position functioning as part of the finance department and reporting to the Chief Financial Officer focusing primarily on data entry and recordkeeping. Good verbal and written communication skills will be essential for this position. Key Responsibilities:
- This position assists
with the utilization of QuickBooks Enterprise for Non-Profits to maintain all of Society bookkeeping. QuickBooks is used for budgeting, cash receipts and disbursements, maintaining multiple bank accounts with several banks and foundations, all Society accounts payable and accounts receivable, monthly budget reports for program managers, tracking of in-kinds gifts, grant and donations made to the Society. - Track and
maintain financial data for diverse revenue streams in accounting software, QuickBooks online. Tasks will require a high level of accuracy over many data entries. This will include recording checks, payments, recording receipts, credit card transactions and submitted invoices for payment. - Familiarity of
general ledger and class coding accounting principles include preparing and reconciling journal entries and accounts for data accuracy. - Cash accounting
following outlined procedures and reconciliation which include deposits and departmental business unit cash exchange request. - General administrative
office duties include answering incoming calls, receiving mail, communicating departmentally on the radio and responding to visitors and member requests. - Support of
change management strategies and communication plans providing support services to Finance Department customers which are campus wide departments.
Physical Requirements: Ability to sit or remain stationary at a desk for extended periods of time. Frequent use of hands and fingers for data entry, operating a computer, calculator, and other office equipment. Occasionally required to lift and move boxes or files up to 20 pounds. Regular use of keyboard and mouse for extended periods of time. Primarily works indoors in a standard office setting, with minimal exposure to outdoor elements. About the Team The primary purpose of the Finance Department at the North Carolina Arboretum is to provide strategic financial oversight, stewardship, and accountability in support of the Arboretum's operations and mission. As a 434-acre public garden and affiliate of the University of North Carolina System, the Arboretum relies on the Finance Department to manage budgets, financial reporting, procurement, grants administration, and compliance with state and institutional regulations. This unit ensures the effective use of public and private resources, enabling the Arboretum to deliver high-quality educational programs, research initiatives, and visitor experiences in a fiscally responsible and sustainable manner. Minimum Education, Experience, and Skills High school graduate or equivalent with demonstrated possession of knowledge, skills and abilities gained through experience of data entry and financial acumen, or an equivalent combination of training and experience. Preferred Education, Experience, and Skills Prefer graduation from a four-year college or university and two years of related work history. Experience using QuickBooks or other accounting systems in a not-for-profit business or organization is also preferred. .
