Overview of Responsibilities: Provides executive assistance and performs administrative duties for the President/CEO and Executive Team by carrying out a broad range of responsibilities including handling information requests, correspondence, information research, Board of Directors support, project management, office management, corporate records management, contract administration, and meeting planning assistance.

Essential Duties and Responsibilities:




  • Focuses on the member experience by providing high quality service to President/CEO, Board of Directors, Executive Team, team members, and vendors in order to build strong internal member relationships and provide effective administrative support. Tactfully handles phone calls, information requests, and mail; maintains calendar/schedule appointments; prepares expense reports; and orders office supplies.



  • Anticipates and balances the needs of multiple stakeholders. Gathers information, summarizes findings, offers possible options and/or takes action to resolve issues within the Administration area.



  • Demonstrates business insight by keeping abreast of trends and innovative concepts within the credit union movement, the financial services industry, and the administrative profession; understands the principles of the Credit Union's financial success.



  • Conducts research and analysis for special projects, policy changes, and proposals; prepares summaries, reports, and recommendations. Compiles new policies as developed by Directors.



  • Serves as an advisor to the President/CEO related to administrative functions ensuring they are kept fully informed on the condition of the administrative functions and important influencing factors within the industry and specific to administration. Plans and aligns work by setting clear objectives in alignment with broader organizational goals.





  • Holds self and others accountable to meet commitments. Ensures a high level of excellence and takes responsibility for outcomes.



  • Coordinates Board and Executive Team packet compilation and distribution for peak efficiency and effectiveness. Supports meeting activities including preparation of agendas, handouts, documentation of meeting minutes, and follow-up as needed.



  • Attends meetings of the Board of Directors and Committees as needed, for the purpose of transcribing minutes and providing administrative support. Assists the President/CEO at Board of Directors' meetings on assigned areas of responsibility, as requested.



  • Assists with the administrative details in implementing strategic plans, goal maps, special projects, regular and special meetings, and communication with Executive Team; provides tracking and follow-up.



  • Files reports with state and federal regulatory agencies as needed to provide current records on persons acting as officials, committee members, etc.





  • Organizes comprehensive, timely and professional meetings, events, and activities for all members of the Executive Team. Works collaboratively with the Executive lead and Facilities (internal) or hosting location (external).



  • Prepares travel arrangements, itineraries, and hotel/travel accommodations, as needed.



  • Manages and coordinates projects and responsibilities using project management skills, provides project reports and updates, and monitors effective project completion. Works with others to organize various components needed to initiate, run, and conclude major projects, and prepares corporate project tracking documents for President/CEO and Executive Team.



  • Develops and maintains comprehensive, integrated office systems for Executive Team, including management of on-line directories, databases, contact lists, administrative files, etc. Manages maintenance of Executive file/recordkeeping systems (creation, organization, and storage) with an emphasis on electronic recordkeeping.



  • Oversees the development and maintenance of administrative records management system. Works with Executive Team to ensure accurate and effective recordkeeping, including retention schedule, shared resources and central records as appropriate, purging of records, proper and effective filing procedures, material/file coding, archive guidelines, etc.



  • Works with President/CEO to develop and implement the annual operating budget for the President's office and the administrative function within the assigned timeframe.





  • Authorizes purchases for equipment and supplies related to the administrative function. Manages corporate credit card, reconciles monthly expenses, and ensures timely and accurate documentation. Prepares monthly variance report working with Accounting regarding discrepancies, questions, or changes.



  • Responsible for administration, review, and monitoring of all Administration contracts.





  • Supervises Administrative Specialists and plays a lead role in the selection, training, development, and on-going performance management of Administrative Specialists.



  • Collaborates effectively with internal and external stakeholders in order to meet shared objectives, improve relationships, develop teamwork, and deliver high quality service.



  • Demonstrates interpersonal savvy by relating openly and comfortably with diverse groups of people. Effectively communicates using various forms of communication (written, verbal, presentation) and actively listens in order to accommodate the needs and abilities of different audiences.

  • Manages Ambiguity by operating effectively, even when things are not certain or the way forward is not clear. In an executive's absence, ensures requests for action or information are handled and/or relayed to the appropriate person.




Essential Preparation and Experience:




  • Associate degree Business Administration or related field or the equivalent combination of education and relevant work experience; and



  • 3 years of related, progressively more responsible executive administrative support experience preferably within a financial institution.



  • Minimum high school diploma or GED required.



  • Supervisory experience preferred.




Essential Knowledge, Skills, and Abilities:




  • High degree of independent thinking, analytical and reasoning skills, and problem solving required. Excellent organizational, time, and resource management skills.



  • Ability to handle highly confidential and sensitive information and other business matters with discretion.



  • Demonstrated financial acumen, solid math skills, and basic budgeting experience required.



  • Strong aptitude for learning and applying technology solutions to workflow and everyday tasks and/or projects. Ability to quickly understand and apply technology applications. Proficient in Microsoft Office software, including Word, Excel, PowerPoint, and Outlook.




Compensation and Benefits:

  • Base salary begins at $61,000 / year



  • Medical, dental and vision on your first day! You can choose the most generous Health Savings Account (HSA)-eligible medical plan with no monthly premium for you (and your family)



  • If you are at least 21 years old, you will receive a 3% contribution from MSGCU, and a 100% match for the next 7% you contribute to your 401(k)



  • You will enjoy 12 paid holidays and up to 120 hours of PTO your first year of service (pro-rated based on start date)




Working Conditions:




  • Office and branch location environment with little discomfort from noise, extreme temperature, dust, or other factors.



  • Occasionally required to travel throughout the MSGCU's service area as business needs require.



  • Exposed to potentially hazardous conditions, such as robbery. Receives detailed instructions and security procedures on an annual basis to minimize risk.



  • This work involves sitting most of the time with brief periods of walking or standing and may occasionally require lifting and/or moving up to 25 pounds.
