How You'll Make an Impact As aMid-Level Project Coordinator role in the Biology Field,you'll be responsible for supporting the Department of Water Resources (DWR) Watercraft Inspection Program. This position is crucial in managing staff schedules, ensuring operational coverages across multiple sites, and serving as the primary point of contact for field personnel. This is a fast-paced, dynamic role that requires flexibility, problem-solving skills, and the ability to bring structure to shifting priorities. Duties and Responsibilities
  • Staff Scheduling:
    • Track staff availability and maintain accurate schedules.
    • Prepare and distribute bi-weekly work schedules and daily staffing plans for the watercraft inspection station and 6 seal check stations with varying operational hours.
    • Ensure schedules comply with meal and rest break regulations and maintain consistent customer-facing staffing throughout all shifts.
  • Field Operations Support:
    • Serve as the first point of contact for field staff inquiries regarding shifts, scheduling conflicts, and time-off requests.
    • Coordinate travel logistics of team members as needed.
    • Assist with coordinating and resolving field supply and recourse needs that may come up throughout the program.
  • Administrative Duties:
    • Review and process timesheets and expense reports, with a focus on accuracy and timeliness (especially on Mondays).
    • Maintain a current roster of all program employees.
Minimum Qualifications
  • Bachelor's degree from an accredited institution.
  • 5+ years of experience
  • Demonstrated attention to detail and ability to manage complex, evolving logistics.
  • Experience scheduling shift-based workforces, preferably without specialized scheduling software.
    • Must be proficient in Microsoft Excel and capable of building or adapting tools as needed for scheduling and tracking.
  • Comfortable working in a high-paced, often chaotic environment with a calm, solution-oriented approach.
  • Strong communication and interpersonal skills - able to build rapport with remote field teams and troubleshoot issues quickly.
  • Proven ability to bring order to ambiguity and adapt to changing circumstances on short notice.
  • Ability to be available at night and on weekends to help answer calls, organize incoming data or resolve late-hour schedule changes.
Preferred Qualifications
  • Prior experience in operations coordination, field program support, or logistics management.
  • Background in customer service or public-facing work environments is a plus.
  • Familiarity with government agency work or water resource programs is helpfulbut not required.
Compensation: $23-30/hourly*
  • *Final agreed-upon compensation will be based on a variety of factors including, but not limited to, an individual's related experience, education, certifications, skills, and work location. Successful candidates must pass a pre-employment drug test and background check prior to beginning employment.
