Inova Center for Personalized Health is looking for a dedicated Billing Correspondence Specialist to join the team. This role will be full-time day shift from Monday - Friday, 8:00 a.m. - 5:00 p.m. ; Hybrid

The Billing Correspondence Specialist accurately performs the document classification and indexing process in the correspondence management software. The specialist completes all Indexing and Quality Control (QC) work in accordance with hospital-defined productivity and quality standards. Promptly classifies and indexes documents in assigned work queues to ensure timely processing of all work assignments.

Billing Correspondence Specialist Job Responsibilities:



  • Processes documentation (document prep, scanning and indexing) into the Electronic Health Record (EHR).
  • Assures integrity and quality of medical billing records using document imaging technology with established quality control procedures.
  • Responsible for demonstrating knowledge of HIPAA privacy and security regulations as evidenced by appropriate handling of Protected Health Information (PHI), promoting confidentiality and using discretion when handling patient and various hospital departments information.
  • Demonstrates competency by successfully meeting established scanning/indexing metrics for productivity and quality.
  • Communicates any issues to Management in a timely manner.
  • Responsible for ensuring the confidentiality, integrity, accuracy, daily maintenance, and storage of all data both in an electronic and hard copy format consistent with the administrative, ethical, legal, and regulatory requirements.
  • May perform additional duties as assigned.



Billing Correspondence Specialist Job Requirements:



  • Work Schedule: 8-hour shift (Monday - Friday days, 8:00 a.m. - 5:00 p.m.) ; Hybrid
  • Education: High School diploma or equivalent
  • Experience: 2 years of related experience



Billing Correspondence Specialist Job Preferred Requirements:



  • Demonstrated experience in handling payer correspondence, denial letters, and Explanation of Benefits (EOBs), with the ability to interpret and respond appropriately.
  • Proficiency with electronic health record (EHR) and billing systems (e.g., Epic Resolute Hospital Billing, Cerner, Meditech).
  • Familiarity with accounts receivable workflows and follow-up processes in hospital billing settings, including government, managed care, and commercial insurance.
  • Excellent written communication skills for drafting clear and professional letters in response to insurance inquiries, denials, and patient correspondence.
  • Knowledge of revenue cycle KPIs and how correspondence workflows impact cash flow, collections, and compliance.
  • Strong attention to detail with the ability to track and document case resolution in correspondence systems or payer portals.
