Job Description

Position Summary

The Facilities and Planning Office Assistant serves as a key member of the Housing Department's Facilities and Planning team, providing comprehensive administrative, logistical, and operational support. This position plays a critical role in ensuring the smooth maintenance and functionality of residential facilities, directly contributing to the comfort, safety, and satisfaction of students living on campus.

The ideal candidate is an organized, detail-oriented professional who enjoys coordinating complex tasks, communicating with diverse stakeholders, and contributing to process improvement. Key ResponsibilitiesAdministrative & Student Support

Provide organized and reliable administrative support to the Associate Director and Facilities and Planning team. Responsibilities include preparing meeting agendas and documentation, maintaining operational records, and supporting daily office functions with consistency and discretion.

Effectively manage time and priorities in a dynamic, service-focused environment.

Provide direction to student staff supporting facility operations and aid in their professional development. Maintain a flexible and cooperative approach, contributing to the overall effectiveness and reliability of the team while fostering a supportive environment for students.

Communication & Stakeholder Coordination

Support internal and external communication efforts related to facility operations and residential maintenance. Prepare clear, timely messages across platforms such as email, signage, and digital content, and assist with coordinating updates between students, staff, and vendors. Foster collaborative working relationships while maintaining a professional tone across all interactions.

Operational Logistics & Project Support

Assist in the coordination of departmental logistics, including scheduling, supply management, and room reservations. Support the implementation of facility projects by tracking timelines, monitoring work orders, and ensuring appropriate follow-up. Participate in the monthly on-call rotation, and assist in additional coverage during staff absences, for after-hours facility needs, including door access support.

Approach logistical challenges with initiative, responsiveness, and a strong sense of accountability. This role offers a unique opportunity to learn project management and contribute effectively to a busy cross-functional team.

Policy, Procedure & Inventory Management

Contribute to the development and upkeep of internal policies and procedural documentation. Monitor and maintain inventories of departmental assets and furnishings, support equipment relocation and installation, and ensure data accuracy in tracking systems. A structured and attentive approach is essential to ensuring consistency across operations.

Shift

40 hours per week, 8 to 5 p.m. Monday through Friday

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

This position serves in an on-call rotation to assist students and staff with after-hours door access issues.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

  • Demonstrated experience coordinating and providing office support
  • Clear and concise verbal and written communication skills
  • Understanding of facilities/maintenance projects
  • Detail-oriented and highly organized
  • Self-motivated and able to follow through on multiple tasks at the same time
  • Excellent customer service skills
  • Willingness to do what is necessary to make the team successful
  • Proficient in Microsoft Office (including Word, Excel and Outlook)
  • Data entry experience
Anticipated Hiring Range

Range: $15.00 - $19.00 per hour, paid on a bi-weekly basis
