Administrative Assistant

In this role, you'll be the administrative backbone of our warranty department-assisting with data entry, processing claims paperwork, tracking submissions, and coordinating between service technicians, OEMs, vendors, and internal teams. Requirements

What You'll Do:

* Review and process incoming warranty claims and documentation

* Enter claim details, parts information, and support documentation into warranty systems and databases

* Track claim status and follow up on pending or denied claims with vendors or OEMs

* Assist with preparing warranty return documentation and shipping coordination

* Organize and archive claim records in both digital and physical formats

* Communicate with service managers, technicians, and customers regarding claim status and required info

* Generate weekly or monthly warranty reports for internal tracking

* Maintain confidentiality and accuracy in all data handling

What You Bring:

* 2+ years of experience in an administrative, clerical, or office support role-ideally within service, automotive, or equipment industries

* Experience working with warranty claims, service orders, or parts documentation a strong plus

* Excellent organizational skills and attention to detail

* Strong communication and follow-up skills

* Proficiency in Microsoft Office (especially Excel and Outlook) and/or experience with ERP or service management software

* Ability to manage multiple priorities while meeting deadlines

* High school diploma or equivalent; associate degree preferred
