Position: Medical Assistant (MA) Scheduler

Hours: Monday - Friday, 8:00 AM - 4:30 PM

Job Description: Shenandoah Oncology is seeking a dedicated and organized Medical Assistant with a strong background in navigating and using patient appointment systems or healthcare scheduling systems. This role is crucial in ensuring high-quality patient care and optimal workflow. The ideal candidate will be responsible for managing patient treatment appointments, coordinating schedules with infusion teams, ensuring accurate and timely processing of treatment orders, and providing backup support for the treatment room MAs.


Responsibilities

  • Coordinate and schedule patient treatment appointments, including chemotherapy and other oncology-related therapies, while ensuring the most efficient use of treatment room resources.
  • Confirm patient information, treatment regimens, and scheduling parameters, ensuring data is accurately entered into the electronic health record (EHR).
  • Work closely with clinical staff to accommodate special scheduling requirements and changes, ensuring proper treatment timing and staffing alignment.
  • Process and manage treatment orders received from physicians, verifying the details for accuracy and appropriateness.
  • Communicate with physicians and pharmacy staff as needed to clarify or adjust treatment orders, ensuring no disruptions to patient care.
  • Address and resolve patient and provider inquiries related to treatment scheduling, utilizing both phone and electronic communication (including voicemails and chart messages).
  • Contact patients for appointment reminders, schedule changes, and confirmations, ensuring optimal patient adherence to treatment schedules.
  • Communicate any potential scheduling issues or delays promptly to clinical leadership.
  • Ensure that treatment schedules are organized and updated daily to reflect changes, cancellations, or new appointments.
  • Assist in maintaining accurate patient records and treatment logs in accordance with compliance standards and best practices.
  • Assist with reporting as needed for treatment room optimization, including tracking daily and weekly treatment volumes and scheduling trends.
  • Provide support in seating patients in the treatment room and assisting with transport to and from the treatment area as needed.
  • Take vital signs (e.g., blood pressure, temperature, pulse, respiratory rate) for patients prior to treatment or emergent events.
  • Ensure that the treatment area is stocked with necessary supplies, including infusion fluids, IV equipment, and personal protective equipment, to support smooth operations.
  • Assist the treatment room MAs as needed during peak times or when there are patient volume increases.

Qualifications

  • High school graduate or equivalent.
  • Certificate of graduation from an accredited program for Medical Assistants preferred.
  • Current BCLS certification is required within three months of hire.
  • Certified Medical Assistant preferred.
