Find out more about us at Kaman.com/Careers. As an Administrative Assistant A at Kaman Precision Products in Middletown, CT, you will be a key part of our outstanding Quality and Purchasing team. Work under direction of the Sr. Manager, Purchasing with a minimum of supervision. Performs administrative and clerical support for the purchasing and quality departments. Duties and responsibilities include, but are not limited to, the following: Prepare and maintain memos, reports and other related documents. Ensure a high degree of neatness and accuracy when documents are prepared under severe time constraints. Utilize personal computer and associated word processing, spreadsheet, presentation and database application software to enhance efficiency, devise standard formats for memos, charts, reports, notices and related items. Assist supervision in the research and assembly of information to be used for reference, meetings, presentations or matters of highly sensitive or confidential nature. Ensure that all information required for meetings/presentations is current and complete. Prepare data of a confidential or sensitive matter. Coordinate and maintains telephone coverage during business hours and answer and screen telephone calls expeditiously, using discretion to handle calls independently or take/relay messages. Make domestic and international travel arrangement for supervision and other management staff, as required. Arrange day-to-day schedules and appointments, adjusting as necessary and alerting supervision to commitments/cancellations or conflicts. Open and screen mail. Maintain good customer relations and be responsive to customer/company personnel needs, issues and concerns. Order and maintain office supplies, including those needed for management coffee and beverage area. Make arrangements for repair of office equipment, as needed. Assist in the preparation of proposals, presentations and other large document projects, as required. May coordinate activities for meetings, ceremonies and other special events at the facility or offsite as required. Maintain effective liaison with other divisions, departments and personnel. Maintain confidentiality; project professional demeanor. Make arrangements for repair of office equipment, as needed. Review and create purchase orders to suppliers. included in the purchase order review are quantity and pricing verification as well as quality requirements and necessary flow downs. Arranges and maintains electronic folders. distributes mail, arranges appointments and meetings with staff members and personnel outside the department. maintains files, records, logs, form control, supplies, addresses, phone numbers and other data as instructed or required. also responsible for any other projects as defined and assigned by the sr. manager - purchasing. Main Responsibilities:
Qualifications: Knowledge of office procedures and routines. Good working knowledge of word processing, spreadsheet and presentation application software. Requires good organizational skills and the ability to work independently to prioritize workload and handle large volume of diverse tasks. Fluent oral and written communication skills needed. High school diploma or equivalent plus additional specialized courses equal to 2 years of college.
