Overview

The EUR-IO/EX/GSD Professional Support Services team ensures the operational effectiveness of the Bureau of European and Eurasian Affairs (EUR) and the Bureau of International Organization Affairs (IO). These services provide comprehensive administrative, analytical, and programmatic support that enables both bureaus to carry out their diplomatic, foreign policy, and international development objectives efficiently and effectively. By supporting day-to-day operations, facilitating interagency coordination, and ensuring compliance with Department of State policies and procedures, these professional services help maintain the continuity and integrity of overseas posts and Washington-based offices.



Responsibilities

The Records Support Specialist provides critical administrative and operational support focused on the effective management of organizational processes and information systems. The role supports the implementation of policies and procedures, contributes to the development and maintenance of internal documentation systems, and facilitates communication and coordination across teams. It also includes responsibilities related to staff support, process improvement, and the oversight of information workflows to ensure compliance, efficiency, and consistency in day-to-day operations.

    Monitors program activities to support efficient management and equitable distribution of resources.
  • Carries out record-related tasks under the direction and supervision of the Bureau Records Coordinator.
  • Demonstrates progressively responsible capabilities to analyze, interpret, and accurately apply federal records management principles.
  • Coordinates the appropriate disposition of records in accordance with established agency practices.
  • Assists with the orientation and training of bureau staff in proper life-cycle records management processes.
  • Serves as the initial point of contact for bureau staff inquiries regarding records, including guidance on retrieving retired files and identifying appropriate record dispositions.
  • Coordinates the submission and retrieval of retirement records with the Washington Records Service Center.
  • Provides management support services such as data entry, task coordination, and control activities across a range of document and information management systems.
  • Develops and updates records schedules in collaboration with bureau offices, including the creation and maintenance of associated file plans.
  • Reviews General Records Schedules (GRS) in comparison with current records inventories and conducts analysis to develop recommendations.
  • Supports the implementation of an electronic records management system by contributing to planning and technical requirements.
  • Collects and analyzes utilization data, preparing clear and concise reports as needed.
  • Maintains liaison with subject matter experts to plan and study work-related issues and procedures, including organizational change, communications, information flow, integrated production methods, inventory control, and cost analysis.
  • Performs administrative support services, including facilitating management operations; assisting the space management team with meeting preparation and records maintenance; and supporting activities related to safety, travel, transportation, emergency management, and resolving work order requests received through myServices.


Qualifications

Skills/Qualifications: The ideal candidate will have a strong understanding of Microsoft Office applications and possess in-depth knowledge of federal records management standards, including guidance from the National Archives and Records Administration (NARA), the Office of Management and Budget (OMB), and other relevant laws, regulations, and best practices. They will demonstrate the ability to accurately interpret and apply procedural guidelines in a professional setting, exhibit exceptional written and verbal communication skills, and consistently maintain a high level of attention to detail in all tasks.

Education and Experience:

  • High school diploma and between three and five (3-5) years of equivalent office management experience.
  • Must have at least 2 years of experience working in a federal records management environment.

Clearance: Secret clearance is required.

Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation:

  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.

The Nakupuna Companies use a market-based compensation strategy to ensure that our employees are compensated within applicable market ranges commensurate with multiple factors, including but not limited to the individual's particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability, organizational requirements, and position location. The projected compensation range for this position is $85,000.00 to $100,000.00 (annualized USD). The salary range displayed represents the typical salary range for this position and is just one component of Nakupuna Companies total compensation package for employees.
