DEPARTMENT OVERVIEW

Office of Institutional Planning, Government Relations, Strategic Partnerships, and Events

The Office provides leadership and services through a variety of programs and activities. We facilitate extramural funding at the federal, state and local levels, promote strategic collaboration with external partners, and engage key external stakeholders and supporters. Program areas include institutional strategic planning, positioning, and partnerships; research analysis, reporting and recommendations; government, corporate and international relations; institutional events and venue management; and executive office administrative support.

  • Identify and secure opportunities to advance Scripps priorities.

  • Inform key partners and stakeholders about Scripps priorities and projects.

  • Raise awareness about Scripps at local, national and international level.

  • Develop new partnerships and strengthen ties with institutional and external partners to advance Scripps priorities.

  • Engage a variety of institutional strategic planning efforts.

The Events Unit has grown from a $350K single-venue operation to over $1 million each year in four unique venues. The Events Unit is also responsible for producing and managing internal events with budgets rating from $1,000 to $200,000 for a wide variety of audiences to include faculty, staff, students, alumni and donors

POSITION DESCRIPTION

Assists in planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. May independently manage small, non-complex events. Staffing responsibilities include working with vendors to ensure appropriate staffing levels.

The position is responsible for invoicing, collecting and processing payments, and tracking all catering trade for over 500 events with 15 caterers within University-approved cash-handling guidelines and procedures.

Serve as SIO Events parking representative and ensure SIO remains in compliance with Coastal Commission agreement.

QUALIFICATIONS
  • Working knowledge of concepts, principles and practices of event planning and production and public relations.

  • Experience coordinating a wide variety of event production elements and skilled in working with event layout, staging, audio/visual, lighting, parking, catering, photography, decor, performers, and any other required resources.

  • Proven knowledge of generally accepted cash handling and accounts receivable procedures.

  • Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.

  • Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.

  • Strong interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.

  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management.

  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.

  • Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.

SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
