What you will enjoy doing*
- In this role, you will conduct work of a confidential nature, necessitating exposure to sensitive information and interactions with contacts requiring considerable discretion, judgment, tact and diplomacy
- Provide administrative support for projects, including tracking progress, coordinating deadlines, and assisting with the preparation of project-related documentation
- Serve as a point of contact between executives/team members and internal/external stakeholders, maintaining professional and positive relationships
- Coordinate domestic and complex international travel, including understanding and managing visa requirements, booking flights, accommodations, ground transportation, and processing expense reports
- Manage and maintain complex calendars for global CIO and VP IT & Digital Americas, including scheduling meetings, appointments, and travel arrangements, resolving conflicts, and ensuring efficient time management
- Schedule and handle meeting logistics (could be of a complex nature)
- Organize and coordinate department wide activities, townhalls and communications (some with global participants)
- Prepare agendas, executive level presentations and manuals
- Maintain organized office systems, including filing (both physical and electronic), record-keeping, and inventory of office supplies
- Maintain accurate organization charts, contact lists, format and proofread correspondence
What makes you great
- High
School or GED required; Associate Degree preferred - Minimum 7 years experience
in an administrative position required - Experience working in a
corporate environment supporting senior leaders required - Requires ability to show
initiative and work with minimal supervision - Must have a demonstrated
ability to interact well with all levels of management, including senior and executive-level management - Strong organizational skills
with the ability to manage multiple priorities without losing attention to detail - Able to work under pressure
in a fast-paced environment - Demonstrated attention to
detail and ability to proofread and produce error-free work - Excellent interpersonal
skills required to interface with both internal and external customers - High proficiency with Word,
Excel, PowerPoint, required. Adobe Writer and Concur, preferred - Strong written and verbal
communication skills with excellent grammar and business acumen - Able to effectively work
with international groups and employees from other cultures - Demonstrated ability to
maintain and protect confidential and sensitive business information - High level of
professionalism, tact, telephone courtesy, teamwork, decision-making and judgment - Must be available to work
overtime; sometimes on short notice - Accessible during
non-business hours, as needed - Dependable, reliable
