Job Description/Responsibilities:
General Department
Primary point of contact for all facilities-related matters, liaising between employees, external service providers, and the Facilities Team. Effectively communicate scheduled maintenance, inspections, and service disruptions to minimize impact on business operations. Manage and assign service requests through the Facilities Service Desk, ensuring timely resolution. Communicate with departments on the status of new hires and seat allocations. Coordinate employee moves and seating allocations, updating the floor plan system (Eptura) and creating new name tags. Collaborate with the Landlord to ensure seamless operation & uptime of the common area. Manage Eptura booking application and ensure floor plans are kept current.
Financial
Partner with Procurement and Workplace Services teams regarding RFPs for national and local service contracts, obtaining vendor proposals, and creating SOWs and MSAs. Participate in bid reviews to ensure service requirements are met for HQ. Manage the PR/PO process and collaborate with Accounts Payable on vendor payments. Responsible for setting up new vendor accounts in Oracle, due diligence, etc. Assist in the Annual Operating Plan (AOP) planning and preparation process. Maintain operating costs within the assigned budget.
Management
Collaborate with Risk Management regarding all Certificate of Insurance requirements for company and properties. General liaison for all CoIs for REFS.
Oversee cafeteria operations:
Manage daily cafeteria operations, ensuring efficient and effective service. Ensure service provider is compliant with health and safety regulations. Manage cafeteria budgets, including forecasting revenue and expenses. Monitor food quality and service standards, ensuring customer satisfaction. Address customer complaints and resolve issues in a timely and professional manner. Implement sustainable and eco-friendly practices in cafeteria operations. Upload weekly menu to Cloud Central for employee review.
Manage aspects of construction and renovation projects:
Repairs & Maintenance
Conduct daily inspections of the facility to guarantee safe operations. Schedule and attend regular walkthroughs with vendors, pursuant to SLAs and KPIs, to ensure contract compliance and identify areas needing attention to keep the space safe, clean and organized. Alert vendors and Manager - HQ of any discrepancies. Schedule and oversee contractor services, verifying completion and quality control. Ensure that all licenses, permits, and certifications are accurate and up-to-date. Ensure strict adherence to company safety and sustainability programs, and all local, state, and federal regulations.
Serve as backup to the Manager, Facilities - HQ. Special projects as assigned by department management
Required Experience/Skills:
5 - 7+ years in Facilities / Workplace role in a high-touch and dynamic fast paced environment Time management skills include being able to manage multiple projects with a complex, varied workload. Adept at problem solving, project management, setting priorities, etc. Strong communication skills, both written and verbal. Build and maintain positive relationships with the team, clients, staff and third-party contractors. Ability to exercise formal / informal authority to influence internal and external stakeholders, having a clear understanding of the client's goals and objectives. Commitment to safety excellence, maintain technical proficiency, industry knowledge to provide timely information on all site related issues. High level of computer literacy within Google Workspace and Microsoft products, and space planning tools. Must work independently with little oversight. Ability to pivot quickly as priorities and direction change.
Education Degree in Facilities Management, Corporate Real Estate, Project Management, or Business Administration or equivalent experience in an office environment overseeing a facility/workplace. Nice-to-Haves Working knowledge of AutoCAD Knowledge of the real estate life cycle. Familiarity with building codes and regulations
