How you will make an Impact (Job Summary)

SPX is a diverse team of unique individuals who all make an impact. As the Executive Assistant, you will be the primary Concur travel and expense administrator. You will provide general administrative support for our leadership team assisting with calendar management and event planning. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively. This role will be based out of our Mason, Ohio office.

What you can expect in this role (Job Responsibilities)

While each day brings new opportunities at SPX, your core responsibilities will be:

1. Concur Administration

  • Manage travel bookings (flights, hotels, etc.) using Concur, ensuring compliance with company policies.
  • Accurate and timely reconciliation of monthly T&E and P-card through Concur.
  • Stay up to date on Concur policies and procedures and ensure compliance.

2. General Administrative Support

  • Manage executive calendars, scheduling meetings, appointments, and travel.
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Interact with all levels of the organization and broader global teams on calendar planning, special requests, and office support.
  • Manage logistics for on and off-site meetings (scheduling, catering, IT/AV liaison, conference room management, Teams)

3. Other Duties

  • Conduct research and gather information as needed.
  • Provide administrative support for special projects and ad hoc needs.
  • Address issues and concerns in a timely and efficient manner.
  • Handle information requests, receive visitors, and other day-today office management responsibilities.

What we are looking for (Experience, Knowledge, Skills, Abilities, Education)

We each bring something to the table, and we are looking for someone who has:

Required Experience

  • 2-5 years of experience as an Executive Assistant
  • Concur Proficiency. Strong working knowledge of Concur travel and expense management software
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Preferred Experience, Knowledge, Skills, and Abilities

  • Excellent organizational, time management, and communication skills.
  • Attention to detail with the ability to work accurately and efficiently.
  • Ability to identify and resolve issues.
  • Excellent written and verbal communication skills.
  • Ability to interact professionally with colleagues and clients.

Education & Certifications

  • High School Diploma
