The Operations Coordinator will provide comprehensive administrative and operational support to the Division/Branch leadership and staff within the CDC. This role is responsible for managing calendars, supporting personnel and travel processes, maintaining communication systems, and ensuring smooth execution of day-to-day administrative functions. The ideal candidate is highly organized, detail-oriented, and experienced in government or federal administrative operations.

Requires a NACI Public Trust or the ability to obtain one.

Compensation & Benefits:

Estimated Starting Salary Range for Program Analyst: Pay commensurate with experience.

Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice.

Program Analyst Responsibilities Include:

  • Calendar & Communication Management

    • Maintain and adjust the Division/Branch leadership calendars, including rescheduling and conflict resolution.

    • Manage and update Division/Branch-wide email distribution lists.

    • Distribute vacancy announcements, meeting notices, and other Division-wide communications as directed by leadership.

    • Respond to and direct telephone inquiries and other correspondence as needed.

  • Personnel & Staffing Support

    • Provide guidance to staff on time and attendance procedures, including Family Medical Leave Act (FMLA) requirements.

    • Assist with the preparation of Student Worksite Experience and Guest Research recruitment packages.

    • Coordinate onboarding and offboarding for contract staff and visiting fellows.

    • Prepare and process personnel documents for incoming international fellows, research fellows, and visitors.

    • Support Division/Branch staff with relocation and change-of-station activities.

    • Review and manage requests for building access cards and office keys.

  • Travel & Procurement Support

    • Maintain an automated tracking system for CDC travel, tracking trips, conferences, costs, vouchers, and related data.

    • Assist staff with travel preparation, including arrangements, documentation, and cost estimates.

    • Send and track FedEx shipments or other mail as required.

  • Administrative Reporting & Systems

    • Maintain and update monthly, annual, and ad hoc administrative reports as needed.

    • Attend Division or Branch-level meetings and teleconferences to address administrative concerns or questions.

    • Perform data entry and input into spreadsheets, CDC systems, and databases related to personnel, travel, and procurement.

    • Support inventory and procurement of supplies, ensuring availability of necessary equipment and materials.

    • Assist in reviewing training requests and maintaining property inventory.

    • Distribute Federal Leave and Earnings Statements in a timely and accurate manner.

  • Performs other job-related duties as assigned

Program Analyst Experience, Education, Skills, Abilities requested:

  • Bachelor's degree in Business Administration, Public Administration, or a related field (or equivalent experience)
  • Minimum 3 years of experience in administrative, operational, or executive support roles
  • Experience supporting federal agencies or public health organizations preferred
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and federal administrative systems (e.g., timekeeping, travel)
  • Ability to prioritize tasks, manage competing deadlines, and maintain confidentiality
  • Excellent written and verbal communication skills
