Job Summary

The Advancement Services Associate supports the daily administration of Advancement Services. This position supports University Advancement with the creation and distribution of queries and exports, producing financial and analytical reports, and assisting with gift processing. The Associate plays a key role in maintaining and updating the donor database, Blackbaud Raiser's Edge & the NXT platform, ensuring accurate data management while supporting the team with various other essential tasks to achieve its fundraising and donor engagement goals.

Job Description

Typical duties may include but are not limited to:

  • Creates, updates, and runs queries and exports in Raiser's Edge for solicitations, reports, and mailing lists.
  • Completes routine database projects such as pledge billing, alumni transcript updates, obituary updates, payroll batch posting, address finder updates, report distribution to campus partners, and linking gifts to proposals, among others.
  • Assists with database improvement and innovations, staying current on trainings and new features of the donor database, and collaborates with team to share information and implement new processes as needed.
  • Implements and upholds data management practices to enhance the accuracy, reliability, and integrity of fundraising data.
  • Collaborates with Manager to update policies and procedures for gift entry, processing, and data updates in Raiser's Edge, and assists in creating team-specific training guides for Raiser's Edge users in University Advancement.
  • Posts gifts in Raiser's Edge, mails acknowledgement letters, and assists with gift entry audits.
  • Communicates with internal Advancement staff and campus partners to ensure accurate and timely recording of gifts.
  • Works with Foundation Finance & Accounting to mirror the chart-of -accounts, collaborate on new fund set up, and manage and reconcile the Raisers Edge and Financial Edge databases.
  • Supports the reporting for the annual Volunteer Survey of Education (VSE) national study.

Additional Job Description

Required Qualifications:

  • This position requires a high school diploma and five years of full-time experience directly related to the job functions or, as an alternative, a bachelor's degree and one year of experience directly related to the job functions.
  • Experience with data entry, records management, or other relevant high-level detail-oriented support experience.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Bachelor's degree from an accredited institution in Accounting, Business, Computer Science, Computer Information Systems, Non-Profit Management, or related field.
  • Experience with fundraising or financial record-keeping.
  • Experience with a computer fundraising/donor management software program.

Knowledge, Skills & Abilities:

  • Knowledge of and proficiency with database management applications such as Raiser's Edge.
  • Strong attention to detail.
  • High level of data entry accuracy.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and the ability to prioritize and complete simultaneous projects.
  • Ability to create, compose, and edit written materials.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to interact in a professional manner with staff, faculty, students, and the community in a service-oriented environment.
  • Ability to take initiative to plan, organize, coordinate and perform work in various situations when numerous and complex demands are involved.
  • Ability to maintain confidentiality and discretion at all times.
