Senior Documentation Specialist

Position Overview:

As a member of the Export Documentation COE, the Sr. Documentation Analyst is responsible for overseeing and managing all export-related documentation, ensuring compliance with international trade regulations, Johnson Controls' policies, and customer requirements. The Export Documentation COE Sr. Documentation Analyst also ensures that the organization's knowledge base is well structured and supports operational efficiency by focusing on the strategic management of all documentation processes, the overall development, and performance of the documentation team.

Key Responsibilities:

  • Lead the preparation and review export documentation, such as commercial invoices, packing list, and other required documents.

  • Verify product classification, incoterms, and export licensing requirements.

  • Submit EEI (Electronic Export Information) filing in accordance with U.S. export regulations.

  • Ensure compliance with all international shipping regulations and standards.

  • Ensure accurate and up to date records are maintained for compliance and audit purposes.

  • Perform periodic audits on all export files to ensure accuracy.

  • Evaluate and implement document management systems and tools.

  • Act as the primary point of contact for key internal departments, customs, and external partners regarding documentation related inquiries and issues.

  • Manage and resolve any discrepancies related to the shipments, ensuring prompt and effective solutions.

  • Design, conduct, and oversee training programs for new and junior export documentation team members.

  • Mentor team members, providing guidance on complex documentation procedures, regulatory changes, and best practices.

  • Handle administrative and managerial tasks, such as overseeing schedules, workloads, and team performance.

  • Lead efforts to streamline and improve documentation processes, identify areas of inefficiency or risk, and implement corrective actions.

  • Manage complex documentation-related projects.

  • Prepare and submit regular reports on documentation activities, including any discrepancies, resolutions, and process improvements.

  • Maintain up-to-date knowledge of all changes in international law, customs regulation, and export compliance requirements.

Required:

  • Bachelor's degree or equivalent experience

  • Minimum of 5-7 years that focused on both leadership and hands-on documentation management.

  • Excellent communication, interpersonal and organizational skills.

  • Proven experience in training, mentoring, and developing staff members.

  • Strong analytical and problem-solving skills, with the ability to manage complex documentation processes.

  • Extensive knowledge of international trade regulations, customs procedures, and documentation requirements.

  • Proficient with Microsoft Office Suite or related software

  • Ability to work effectively with minimal supervision while being a collaborative team player.

Preferred:

  • Experience with ERP systems or similar platforms, Trade Automation a plus.

  • Demonstrated ability to drive cultural change within an organization.
