Position Function
Provide administrative, secretarial, and receptionist duties for the Dean's Office.
Minimum Education
Associate's degree or equivalent. Two additional years of work experience will be accepted in place of an associate's degree.
Minimum Experience
One year of work experience.
Minimum Other
Familiarity with Microsoft Office Suite, practical communication skills.
Authorization to work in the US Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.
Preferred Education
Preferred Experience
Familiarity with Banner, office equipment, software, and processes.
Preferred Other
Proficiency in Microsoft Excel.

Job Duty
Perform administrative tasks, including ordering supplies, receiving supplies and services, tracking inventory; managing equipment requests, arranging payment of invoices, maintaining records, and reconciling budgets; communicating and coordinating with other units within the college, within the university, or outside the university, as necessary for the smooth functioning of the Dean's Office; prepare, compose, and distribute information and schedule meetings for various college functions and meetings; track responses; prepare reports utilizing Word, Excel, and PowerPoint; maintaining membership lists of various committees; maintaining record of college policies; scheduling conference or class rooms for meetings or events.

Perform secretarial and receptionist tasks, including travel arrangements and reimbursements; opening and closing of the office; maintain continuous front desk coverage, greet and assist visitors and answer telephone calls, answer inquiries and direct visitors to the appropriate office or person; establish and maintain a professional and organized atmosphere at the front desk and in the reception area; oversee and manage office email account and sort and distribute incoming mail.

Assist with building, equipment, and technology issues through coordination with other units on campus, including Facilities Planning and Management, University Technology Services, and Classroom Support; coordinate and collect departmental requests for technology, summarize these in the technology plan, and maintain records; coordinate space allocation and management within the college; coordinate the maintenance of common areas.

Assist with the coordination of posters and digital displays within the college; facilitate workflow and handle paperwork including workorders, move/excess orders, and vehicle requests; provide logistical support for promotional, celebratory, information, and recognition events; assist with data collection and reporting; and assist the Associate Deans in working with departments and centers.
