Responsibilities
Page wants to connect with an outstanding Front Desk Receptionist to join our firm in Dallas, Texas. Ideal candidates are timely, organized professionals that love meeting people. The ability to multi-task on a daily basis is also desired. The receptionist needs to manage incoming telephone calls in a courteous, professional manner. They also need to assist the callers as much as possible in the instance that a fellow team member they need is not available. It is key that they take messages as needed as well as screening sales and other calls per firm's policy. Additional Duties include:
- Greet visitors to the firm. Announce their arrival to appropriate Page employee(s). Ask them to sign in and seat them in conference room or lobby;
- Receive deliveries and ensure item(s) is delivered to Page staff;
- Monitor outgoing shipments (courier, overnight, mail);
- Process incoming/outgoing mail daily;
- Schedule travel plans for staff;
- Process submittals;
- Monitor and update conference room calendars throughout the day as needed;
- Monitor supply cabinets and drawers; straighten as needed, note supplies that need to be replenished;
- Order supplies weekly; determine, with office manager, best vendor for specific supplies and special requests;
- Monitor and order shipping/mailing supplies (UPS and USPS);
- Manage magazine subscriptions received - document on spreadsheet; communicate with employees as needed;
- Submit building and equipment service requests;
- Provide filing and clerical/administrative support;
- Set up refreshments for meetings as needed. Break down and restore conference rooms to normal configuration after meetings have ended;
- Complete other duties as assigned by the Administrative Office Manager or Senior Principals.
Qualifications
- Available to work 8:30am - 5:30pm Monday through Friday;
- Excellent communication skills including language proficiency and ability to answer multi-line phone system
- Professional appearance;
- Working knowledge of Microsoft products, including Office (Word, Excel, PowerPoint, Outlook);
- Must be dependable, punctual, organized, and be able to work independently;
- Team attitude, ability to multi-task and prioritize;
- Prior experience with an Architectural/Engineering/Construction (A/E/C) firm is a plus;
- Must be a US Citizen and be able to obtain a government security clearance.
