STAFF ASSISTANT

Department of Family and Support Services

(Senior Services)

Number of Positions: 1

(Additional vacancies possible pending budget approval)

Starting Salary: $66,612

This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under direction, assists in the performance of specialized administrative support duties, and develops and implements management methods to improve organizational performance; and performs related duties as required.

ESSENTIAL DUTIES

* Position will be responsible for providing administrative support and managing assigned tasks and special projects/initiatives associated with the program administration of DFSS twenty-one (21) senior centers and other divisional programs.

* Provides technical assistance and support to staff and contracted agencies, and other program partners for DFSS Senior Centers and other assigned programs and services. Convenes, coordinates, and facilitates meetings and other communications with contracted agencies and other partners, as needed to resolve operational issues, share best practices, and improve program performance.

* Reviews and compiles program reports, including monthly reports from staff, contracted agencies, identifying trends, informing program operations, and ensuring accuracy of data.

* Maintains centers' property inventories.

* Creates program promotion flyers, documents and brochures.

* Follows-up on work order requests from the senior centers and escalates critical issues.

* Assists with Citywide Special Events and Activities

* Performs other duties and fulfills additional responsibilities as needed.

Location: 1615 W. Chicago Avenue

Days: M-F

Hours: 9am to 5pm

Qualifications

MINIMUM QUALIFICATIONS:

Graduation from an accredited college or university with a Bachelor's degree in Business Administration, Public Administration or a related field, supplemented by one year of administrative experience, or an equivalent combination of training and experience.

Licensure, Certification or Other Qualifications:

N/A

SELECTION REQUIREMENTS:

This position requires applicants to successfully pass a skills assessment test and complete an interview. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. The candidates that receive a passing score on the skills assessment test will be invited to interview for the position. Candidate(s) receiving a passing score on the test and possess the qualifications best suited to fulfill the responsibilities of the position, based on the oral interview, will be selected in seniority/lottery order.

Preference will be given to candidates possessing the following:

* Previous experience in budgeting and financial management

* Previous experience coordinating and/or managing special projects and initiatives.

* Previous experience documenting status and outputs of projects and processes

* Proficient in Microsoft Office, Canva, Adobe Suites

* Previous experience analyzing and reporting on detailed program performance data and information.
