Overview

Manage the daily operations for the EVMS Foundation accounting office including the investments, pledges, audit compliance and reporting of the Foundations financial information. The EVMS Foundation is the fundraising foundation for the Eastern Virginia Medical School and provides annual support to EVMS from endowed funds and contributions received throughout the year. This position is responsible for the recording and spending of contributions as well as the accurate accounting of over 200 endowed funds. The position must work closely with the Development office to maintain donor relations and fiduciary responsibility of these funds. The position also records the investment activity of an endowment that is currently over $65 million.



Responsibilities

Oversee daily operations of the EVMS Foundation office including assuring that funds are spent within the donor's restrictions and upholding the Foundation's fiduciary responsibilities for such funds.

Provides direct supervision of the Junior Accountant position.

Answer questions regarding all aspects of EVMSF accounting and administration from junior staff, faculty, Senior Management and donors. Must exhibit good judgment when responding.

Plan annual audit, prepare schedules and financial statements. Work directly with external auditors and responsible to make sure audit is completed efficiently and by required deadlines. Establish what PBC schedules are required. Assign staff and deadlines to schedules as needed.

Record changes in the investment portfolio to over 200 endowed funds.

Communicate with investment consultants and custodian on investment issues and with investment brokers for stock transfers and sales.

Review annual cash needs to liquidate from investments.

Prepare and submit information for the NACUBO Endowment Study.

Prepare and/or review quarterly financial packages for the Board of Trustee's, including review of financials, variance explanations and submit investment information.

Prepare and/or review quarterly Investment Committee package.

Review monthly Close and Financial Statements including review and posting of all journal entries and preparation of monthly investment journal entries.

Review monthly all reconciliations and EVMS reconciliation of amounts owed

Review monthly financial statements.

Prepare end of year budget information for following fiscal year including calculation of spending based on the EVMS Foundation spending policy. Present and review budget schedule with Assistant Treasurer, Associate Dean of Business Affairs, Director of Business Management, Director of Development and Development staff. Must be knowledgeable for the restrictions, gifts and background of over 200 named funds in the Foundation.

Coordinate annual scholarship meeting including scholarship schedule for annual distribution of scholarships.

Coordinate annual awards with Academic Affairs and Departments

Monitor foundation fund budgets and spending in accordance with donor restrictions.

Prepare trust information for annual return and oversee trust payments are made timely

Prepare donor reports for annual reporting to the donors for the endowed and restricted funds.

Manage the Foundation's merchant account and PCI Compliance. Assist the EVMS Controller with EVMS merchant accounts and related PCI compliance.

Maintain policies and procedures. Propose and create new policies and procedures as required.

Perform miscellaneous reconciliations for EVMS including the EVMS Operating bank account reconciliation and the EVMS investment reconciliations.

Approve requisitions that are expensed to EVMS Foundation funds.

Maintain Financial Edge Security.

Must be able to work independently.

Performs other duties as assigned.



Qualifications

Bachelor's degree in Accounting or Finance. Five (5) years of experience in accounting or financial capacity.
