DESCRIPTION

The Division of Graduate Education and Postdoctoral Affairs (GEPA) is the central resource for all matters related to graduate education and postdoctoral affairs at UC San Diego. Our team is there at every step in a scholar's journey, helping them navigate their path from admission to graduation to the training environment and beyond. Working in collaboration with faculty, staff, and students across campus, GEPA guides today's scholars on their upward trajectory to becoming tomorrow's leaders.

Under general supervision from the Director of Professional Development and Fellowships and in partnership with the UC San Diego Study Abroad Office and Office of Postdoctoral Scholar Affairs, incumbent is responsible for fellowship program management of the Merkin Graduate Fellows Program and the Eric and Wendy Schmidt AI in Science Postdoctoral Scholars Program. With the goal of providing transformative experiences for graduate students and postdoctoral scholars, incumbent manages fellowship programs centered on enabling high-impact international education and research opportunities for graduate students and interdisciplinary research opportunities for postdoctoral scholars. Provide comprehensive oversight and management of fellowship administration; recruit and advise students and postdocs on the fellowship application processes and the opportunities available as part of the programs. The Merkin Fellowship Program and the Schmidt AI in Science Program aim to promote and expand research opportunities and intercultural exchange, combined with providing unique experiences to contribute to scholars' academic and research success and foster the development of future global leaders. Evaluate the eligibility of applicants for the programs and assist with the selection decisions. Plan, implement, and evaluate a variety of student and postdoc recruitment and outreach activities. Establish and maintain professional networks with key UC San Diego offices, the Schmidt Sciences Foundation, and Schmidt AI in Science Postdocs Program partner institutions, as well as partner with universities and research institutions abroad. Advise and serve as a primary resource to students and postdocs in the coordination of their fellowship programs. Manage the spending plans, financial projections, and fellowship administration for the programs. Oversee the planning and coordination of events and community building activities for current, prospective, and alumni fellows.

  • Must be able to work occasional evenings and weekends as determined by special events. Available to attend professional conferences and other professional development opportunities.

  • Must be able to provide crisis management/intervention in an international context, as needed.

QUALIFICATIONS
  • Experience and working knowledge of academic advising and counseling techniques. Demonstrated ability to provide effective advising to a diverse population of graduate students and postdoctoral scholars on topics such as professional development, campus resources, networking, and student/scholar success skills.

  • Working knowledge of a higher education academic department, major, minor, and general education requirements which can be satisfied by academic programs abroad, and faculty areas of expertise and support of international programs.

  • Experience traveling, studying, and/or living abroad. Knowledge about a wide variety of countries, cultures and foreign educational systems. Familiarity with international political, social and cultural issues as they pertain to educational exchange.

  • Degree in student services, education or related field, or equivalent combination of education and demonstrated experience, knowledge, and success pertaining to supporting students and scholars.

  • Knowledge of complex U.S. visa and immigration procedures, compliance issues, and employment eligibility / authorization for international students and scholars.

  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.

  • Demonstrated ability to work effectively in online environments to include: website development, databases, and email. Demonstrated skill and experience using Microsoft Office programs including Word, Excel, and PowerPoint, as well as other software programs, such as Adobe Acrobat, etc. Ability to use student information systems (such as; ISIS, StudentLink). Skill to conduct research and solve problems associated with use of computing systems and software packages.

  • Interpersonal skills. Demonstrated ability to work as a member of a collaborative team. Proven track record in customer service. Demonstrated dedication to student and scholar populations and proven ability to sincerely work for their success. Must possess the full range of skills, knowledge and abilities to assess the needs of students and postdocs while complying with policies and regulations. Proven ability to work productively and cooperatively in a high-stress, fast-paced, public environment.

  • Multicultural competencies; ability to work with diverse populations. ** Skill in establishing rapport and in exercising professional judgment, tact and diplomacy in working with a wide range of students, postdocs, faculty, and staff from diverse cultural, social, and economic backgrounds.

  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. ** Demonstrated ability to provide crisis management and intervention in an international context and to problem-solve and offer alternatives toward conflict resolution. Knowledge about current safety, security, and health issues, as they affect students abroad.

  • Ability to work effectively with faculty, staff and administrators throughout the campus to provide information, including online resources; follow appropriate processes; ensure integration of research experiences; and resolve conflicts. Knowledge and skill in analyzing, interpreting and implementing university policies, procedures and requirements as they pertain to fellowship programs.

  • Ability to establish priorities, set goals, organize workload, work independently, innovate when necessary, and make independent judgments about policies, procedures and work priorities within existing guidelines. Demonstrated ability to consistently interact collegially with colleagues, to be professional in all interactions, to bring a positive attitude to the workplace, to want to learn and acquire new skills, and to respect authority.

  • Ability to coordinate, design, implement and evaluate publicity and marketing strategies and student/scholar recruitment procedures on a university campus.

  • Knowledge of UC San Diego policies and procedures. Familiarity with campus and community resources preferred.

SPECIAL CONDITIONS
  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
