Lathrop GPM, one of the nation's leading law firms, has an immediate opening for a Senior Intake Manager in our Minneapolis, MN or Kansas City, MO location. The Senior Intake Manager is accountable for the delivery of department services and the strategic direction of the Intake team. The manager is responsible for the continuous improvement and management of a firmwide new business intake process, efficient and accurate operation, and management of the Intake team, systems, and procedures. The Intake Manager is expected to identify potential risks and advance recommendations to minimize risks related to new business intake. All responsibilities are expected to be performed with a commitment to providing excellent customer and risk management service to the partnership in a matter consistent with firm values.

  • Provide effective leadership by coaching, counseling, and motivating Intake employees to achieve the highest levels of productivity and job satisfaction
  • Oversee Intake team members and their responsibilities, including workflow delegation and management, to ensure requests are processed within agreed upon service level timeframes and in accordance with department procedures
  • Hire, train, and manage the professional development of department employees
  • Manage the performance evaluation of all departmental employees including the annual review process and dedicated check-ins throughout the year to ensure employees are meeting goals and objectives to support their professional development
  • Work with Human Resources to resolve employee relations issues through the effectively handling of disciplinary actions, up to and including termination
  • Coordinate and approve all leave requests submitted by Intake staff ensuring adequate departmental coverage for the firm
  • Participate in Intake related technology projects to update, maintain, and improve new business intake applications to ensure operational efficiency for all stages of the client lifecycle
  • Develop, maintain, and implement internal training manuals, quick reference guides, system documentation, and departmental resources
  • Continuously assess and make recommendations to update procedures and systems to reduce errors, lower costs, and minimize potential liability
  • Identify potential risk considerations and special processing procedures applicable to the opening of new clients and matters
  • Keep firm resources, such as Compass and Intapp Open system documentation, current for intake system end users
  • Set strategic goals for the New Business Intake department
  • Provide risk management support to the Director of Client Intake, General Counsel, Professional Responsibility Committee, and other firm management
  • Keep current with relevant ethics opinions and industry trends
  • Manage special projects as requested by other members of the firm, including the General Counsel's office, PRC, Information Governance, Client Innovation, Accounting, and firm management
  • Provide support to the Professional Responsibility Committee to ensure the timely resolution of potential conflicts and effective review of engagement letters and outside counsel guidelines
  • Oversee the departments collection and maintenance of correspondence related to the Client lifecycle, such as Outside Counsel Guidelines, Conflict Waivers, Engagement, Confirmation, and Declination letters, in the appropriate firm repositories
  • Provide onboarding and new hire training to firm partners
  • Oversee seamless onboarding, client transfers, and matter openings for lateral partners and partner groups
  • Oversee the completion of key business metrics to measure value of services to the firm and identify areas for improvement
  • Respond, as necessary, to calls, emails, and requests from firm attorneys, legal administrative assistants, and other personnel regarding the new business intake process and requests
Requirements
  • Bachelor's degree or equivalent years' related experience
  • Minimum of five years' experience in conflicts or new business intake in a law firm setting.
  • Experience leading or managing a team
  • Knowledge of Model Rules of Professional Conduct and their practical application in a mid-size law firm
  • Experience with Intapp Open, preferably as both an end user of the intake system and on the technical side as it relates to system upgrades and enhancements
  • Ability to problem-solve.
  • Strong leadership and managerial skills with an ability to motivate a team to operate at its full potential.
  • Excellent interpersonal, verbal communication skills, including the ability to communicate potentially detailed and complex information effectively in both an in-person and virtual environment (e.g., via phone, web/videoconference).
  • Excellent written communication skills, including the ability to draft and execute complex communications such as policies and procedures, system documentation, instructional documents, and quick reference guides.
  • Ability to concentrate on tasks, make decisions and work calmly and effectively in a high-pressure, deadline-orientated environment.
  • Strong analytical skills, including the ability to identify risk considerations and synthesize large amounts of client due diligence data and conflicts of interest information.
  • Demonstrated ability to use good judgment in taking initiative while asking for direction or clarification and consulting others, as appropriate.
  • Strong project management skills, including a keen attention to detail and ability to manage targeted goals and deadlines.
  • Willingness to be flexible with time and adjust to a changing work environment.
  • Ability to build and maintain positive relationships, both internally and externally, while maintaining a client service orientation.
  • Ability to use sound judgment and discretion in dealing with highly confidential information.
  • Ability to maintain stamina throughout a standard workday, on- and off-site.
  • Ability to maintain regular attendance and work regularly scheduled hours.
  • Ability to take direction, accept supervision, and a willingness to assume new tasks and responsibilities
  • Demonstrate ability to work independently, organize and accurately prioritize work, be detail-oriented, understand when urgency is required and use good judgment in varied situations.
  • Ability to work effectively with co-workers in a team-oriented, collaborative environment.

Current anticipated salary range for applicants as required by applicable state laws is $91,000 - $ 125,000 depending on experience. Actual salary will vary and may be above or below the range. Full comprehensive benefit plan including health care, retirement plan and paid days off, including PTO, parental leave, and short/long term disability.
