Under the general direction of the Health Information Management Senior Manager for Data Integrity, the Chart Correction Manager is responsible for the operational aspects of the Chart Correction Unit functions for all PHS entities and affiliates and the staff associated with them, including direct reports and individuals assigned in a matrix structure. S/He works in collaboration with the Partners electronic health record (EHR) information systems teams, clinical community, and vendors to advance Partners HIM strategic goals and initiatives. S/He will support the operational components, the day to day management of the unit to facilitate corrections of clinical information within the medical record. S/He works with management and business owners to identify strategic direction and planning for unit operations, and impact analysis for large projects.

  • Establish and maintain a positive and productive team environment and a stable work environment through leadership, mentoring and coaching staff. Supervise staff in the day-to-day operational functions of the unit. Manage and delegate assignments of team resources in operations of the unit as well as other projects. Manage daily and on-call scheduling and timekeeping for unit team, including paid time off approvals, and management of timekeeping exceptions
  • Facilitate training and provide direction and guidance to direct reports in a complex environment to ensure that all staff are appropriately informed, trained, guided, supported and evaluated. Work to develop staff for operational projects and leadership roles.
  • Responsible for a thorough working knowledge of all departmental policies and procedures as well as all aspects of the functionality of the unit, including any applications used within the unit and other applications used within the department. Maintains an in-depth understanding of data flow between the EHR, various repositories and ancillary systems. Attain a general understanding of site level information systems both active and historical (legacy).
  • Recruit, hire, manage and develop staff of Chart Correction Specialists & Coordinators. Evaluate overall employee performance, authoring annual reviews, and developing the career action plans for staff in a timely manner. Work with staff to develop an individualized professional development plan by setting clear goals. Monitor the quality of work performed by staff throughout the fiscal year. Terminate personnel in consultation with HR and the Data Integrity Senior Manager. Provides orientation and training to new staff regarding the operational and system policies and procedures.
  • Promote and encourage high quality customer service to all Partners departments, entities and affiliates through on-going communication, feedback and follow-through with customers and peers. Develops and maintains good communication with a wide variety of internal and external professional relationships to accomplish departmental and hospital objectives. Communicate with customers throughout the chart correction process, utilizing e-mail, phone calls, in-basket messaging and Service Now updates. Collaborate with clinicians and other health professionals in order to accomplish goals and maintain relationships required for cross departmental cooperation and projects.
  • Provide input on functional design of applications and any changes to workflow or operational processes. Participate in large scale, high impact projects from an operations perspective, ensuring that the functional quality and productivity is maintained.
  • Provides feedback to Partners eCare (PeC) HIM team for changes and enhancements related to HIM/Identity within the EHR as well as interfaces between the various 3rd party systems. Assists the Pec HIM team members in preparing detailed specifications and proposals for modifying the existing system when the solutions follow clear precedence. Works with the EMPI and PeC HIM teams to review, test and implement new functionality for the EHR.
  • Provides recommendations for technical solutions to operational problems and/or issues. Participates in the specification development, operational test script development, testing and implementation of those solutions. Collaborates with vendors and PeC teams on technical enhancements and other initiatives. Acts decisively to respond to and mitigate the impact of issues which negatively impact unit functions. Collaborate with all involved parties regarding the issue and short and long-term plans for mitigation.
  • Responsible for the evaluation, development and implementation of policies and procedures to improve operational workflow, increase productivity and improve quality. Maintains and modifies unit Policy and Procedure Manuals on a concurrent basis. Ensures that any relevant PHS policy updates as well as any impacts to workflow are communicated to staff in a timely manner
  • Conducts onsite training and demonstration of new process and issues related to chart correction to entity registration, emergency and HIM staff. Provides site HIM liaisons statistical analysis and trending information to be used to guide end user retraining in Epic.
  • Performs other duties as assigned by management.

Education

  • Bachelor's degree required. Degree in HIM, Business, Management, or a related field preferred.

Experience

  • Requires a minimum of 5 years experience with clinical EHR data management.
  • Requires a minimum of 2 years of management experience, preferably in a healthcare environment or related field

  • Strong PC skills including knowledge of PC applications. Knowledge of Epic preferred.
