Executive Assistant

ABOUT THE ROLE

We are seeking an experienced and proactive on-site Executive Assistant to provide comprehensive administrative support to our executive team. This role requires excellent communication, strong computer and organizational skills, and the ability to manage multiple priorities in a fast-paced environment. You will be the point of contact for internal and external stakeholders, ensuring smooth operations and effective communication.

Must-Haves

* Advanced proficiency with software applications, and/or databases

* Ability to prepare and perform general analysis on spreadsheets and reports

* Ability to maintain records and create and/or assemble presentation materials

* Proficiency in PowerPoint to include preparation of presentations from basic materials

* Provide budget support by reviewing and submitting standard expenditures

* May function in a lead capacity to coordinate and direct the work of other administrative staff

* Serve as a resource in complex situations

* Must possess proactive and "outside the box" attitude

* Must be able to perform tasks, including those of a confidential nature, using judgment and

discretion

Job Responsibilities

* Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives

* Prepare and perform general analysis on spreadsheets and reports, maintain records, and create and assemble presentation materials

* Plan, coordinate, and organize special events

* Schedule and coordinate meetings, conference calls, web meetings, and other executive events

* Reserve meeting space and ensure availability of audio visual and other ancillary equipment and materials, if required

* Coordinate in-office and offsite meetings, lunches, and events as needed

* Compose, assemble, review, edit, and maintain documentation such as spreadsheets, presentations, emails, memos, reports, and other materials while ensuring grammar, punctuation, spelling standards, and internal style guidelines are maintained

* Produce and distribute scheduled and ad-hoc reports

* Handle incoming and outgoing mail and calls

* Maintain databases and filing systems, whether electronic or paper

* Order and maintain inventory of appropriate office and meeting supplies

* Cross train with others and train others on operational aspects within their scope of responsibility

* Provide highly skilled administrative support and assist with tasks when requested by various business units

This is an on-site position. No remote/hybrid work is available

Pay: $32.00 - $36.00/hr. BOE

Education and Experience



  • High school diploma or equivalent
  • Must possess minimum of six (6) years of progressive executive-level administrative experience
  • Proficiency in use of social media for business purposes
  • Project coordination experience preferred
