Rutgers, The State University of New Jersey, is seeking a Program Support Coordinator for the Office of the Dean at the Robert Wood Johnson Medical School.
Rutgers is seeking a Program Support Coordinator for the Office of the Dean at the Robert Wood Johnson Medical School. Incumbent will provide administrative/management support of project plans for the integration of
RWJMS and
NJMS. Coordinates the development of new or substantial modification of existing data processing and their supporting methods and procedures. Works with co-leadership and membership for the key subcommittees from
RWJMS and
NJMS faculty, students, and staff to organize the work of integration around the topics of governance and administration, academic environment, faculty, curriculum, and medical students. Involves extensive preparatory work for single accreditation process. Also working in concert with subcommittees on curriculum, admissions, strategic planning.
Among the key duties of this position are the following:
- Serves as direct report to the Chief of Staff (COS) in the Office of the Dean. Reports to and partners with COS to provide administrative & organizational support on project progress, problems and the need for changes.
- Coordinates and fulfills Dean's Office ad hoc initiatives and projects by gathering data requested for analysis and presentation. Assists with large-scale projects, which include but are not limited to the Integration of the Medical schools and various recurring school events. Assist with special event coordination (track attendees and creates/sends announcements & reminders) also ordering catering and necessary supplies.
- Works with Integration leaders and Project Manager to ensure project objectives are communicated across integration teams and successfully achieved. Must possess the ability to work well with all levels within the organization, including school/university officials, faculty, staff, students and community physicians and leaders with diplomacy, executive maturity and sensitive human relations skills.
- Maintains calendar for project tasks including Task Forces, Advisory Sub-Committees & Integration Exec. Team meetings. Schedules zoom meetings and communicates critical task, as needed.
- Assist with maintaining and tracking financial records to ensure expenditures are in accordance with allocated funds.
- Assists with annual Stewardship processes - communicating schedules and arranging meetings (anticipating additional tasks).

Minimum Education and Experience |
- Bachelor's Degree Business Administration, Education, Liberal Arts or in related area and (3) years of experience.
- Equivalent experience, education and/or training may be substituted for the education requirements.

- Excellent customer service skills.
- Have the aptitude to organize, retrieve, format, and export data from multiple sources to develop ad hoc and standard reports.
- Highly proficient in Microsoft Office (outlook, word, excel, powerpoint) or similar software is a must.
- Strong experience in establishing zoom meetings.
- The ability to plan and organize projects independently as well as maintain and efficient and productive work environment is required.
- High degree of initiative and self-motivation; ability to exercise exceptional discretion, confidentiality, and judgment in dealing with sensitive issues; creativity and resourcefulness; ability to work independently and as a team member.
