About UTeach

UTeach at UT Austin includes the innovative UTeach STEM teacher preparation program, a national expansion effort for that program, teacher professional development, and a number of local STEM education initiatives, all supporting the improvement of STEM education and the public education system overall.

UTeach Outreach serves as one of the University's largest outreach initiatives. We strive to inspire students to take an active interest in STEM, while increasing access for students to pursue and succeed in STEM-focused college majors and careers. This is accomplished through a variety of initiatives: university service-learning courses, K-12 summer camps, student internships, pre-service and in-service teacher development, school-day and after-school programming, STEM competitions, and participation in numerous community events.

Purpose

This position supports administrative duties related to summer camp registration and enrollment, including overseeing registration systems, providing student and family support, and managing community partnerships.

Responsibilities

  • Registration Management. Create, revise, and manage registration systems. Troubleshoot issues with external software providers and manage financial communications related to refunds, tax receipts, and donations.

  • Administrative Management. Represent UTeach Outreach internally and externally by managing administrative tasks, facilitating clear communication, and supporting program logistics across all aspects, including summer camps.

  • Camp Communication. Provide clear, accurate, and timely communication as the primary contact for camp families and students.

  • Records Retention and Data Management. Maintain organized and accurate records while ensuring confidentiality. Provide data and analysis to support key projects.

  • External Partnership Support. Empower partner organization staff with the knowledge and resources needed to assist their students with registration and orientation. Oversee key logistical aspects of partnerships and maintain strong communication with external stakeholders.

  • Other duties and projects as assigned.

Required Qualifications
  • Fluency in English and Spanish, with strong verbal and written communications.

  • High School degree and a minimum of five years' relevant experience in an administrative support capacity or Bachelor's degree and one year of experience as an Administrative Assistant.

  • Strong organizational skills with the ability to track and report key metrics

  • Demonstrated ability to coordinate and/or manage event logistics

  • Experience working with a variety of stakeholders, including families, students, and external partners

  • Proficiency in Microsoft Office, cloud storage, and other relevant software

  • Ability to work independently while collaborating within a team environment

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Bachelor's degree in a STEM or related field

  • Experience managing registration systems, tracking student performance, and/or overseeing data management processes. Demonstrated knowledge of UT policies, procedures, and business applications.

  • Familiarity with MailChimp, Remind, and other communication platforms

  • Knowledge of Youth Protection Program policies and compliance requirements

  • Experience supervising interns or part-time staff

  • Prior work in community outreach or partnership-building

  • Experience in financial processes related to registration, refunds, and invoicing

  • Demonstrated ability to assess and improve accessibility in program materials and communications

Salary Range

$54,000 + DOE

  • Must be able to attend occasional special meetings or events of normal business hours, including high peak times in spring and summer

Employment Eligibility:

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
