Position Summary:

The Office Assistant is responsible for assisting in the following areas:



  • Reception and customer service of guests, visitors, and vendors.
  • Admission tours, walkthroughs, admission packets.
  • Answering multi-line phone and directing call to proper party.
  • Clerical duties related to Care Center Business Office and project assignments/admissions contracts.


The starting salary for this position ranges from $18.75 to $22.96/hour. Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered.

Position Responsibilities include:



  • Greets visitors, determines their needs, and contacts proper party for whom the visitor is intended.
  • Answers general questions and gives general information to those visiting or calling the Care Center.
  • Conducts Care Center tours, interviews prospective clients, and notes information on an Admission Inquiry as needed in the absence or unavailability of the Business Office Manager.
  • Prepares admission packets, charts, and tour packets. Complete admission packet with resident or family and assures documentation is thorough, timely and complete. Prepare admission welcome bags and discharge bags.
  • Graphic design for fliers, posters, banners, cards.
  • Receives and distributes payroll checks for Care Center employees.
  • Completes purchase orders for all office supplies, forms, and uniforms, places orders and distributes to appropriate locations, including nursing station.
  • Prepares ID bands and takes admission photographs of residents and uploads photos to Achieve Matrix software.
  • Prepares courier envelopes every morning for EAC courier. Does courier route on campus (EV-B and ALU), sorts and distributes to appropriate person.
  • Accepts and processes Care Center resident credit card payments.
  • Completes daily census report and postings in the absence of the Business Office Manager.
  • Prepares daily assignment posting.


Qualifications

Education:

High School or equivalent G.E.D.

Training and Experience:

Experience as a receptionist, public contact, and customer service desirable. Experience with office equipment and PC preferred.

Job Knowledge:

Knowledge of telephone etiquette, interpersonal communication, typing formats for correspondence and documents, calendaring and filing.

The final candidate must successfully pass Eskaton's post offer, pre-employment testing which includes a criminal background check, drug test, COVID test, TB screen test and health screen.
