That's Wenger Corporation. Wenger Corporation is seeking an Executive Assistant to join our team! As an Executive Assistant, you will contribute to Wenger Corporation's strategy to provide an exceptional customer experience by enhancing the effectiveness and productivity of our President & CEO through effective management of schedules and meetings, handling correspondence, and facilitating smooth communication between the President & CEO and various internal and external stakeholders. At a minimum, you'll need:
- Bachelor's degree in business administration, communications, or a related field
- Proven excellent organizational, time-management, and problem solving skills
- Demonstrated strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Proven ability to work independently and as part of a team
- Demonstrated high level of discretion and confidentiality
- Strong problem-solving skills and attention to detail
- Proven ability to adapt to changing priorities and handle multiple tasks simultaneously
- Proven ability to stay calm under pressure amid tight deadlines
It'd be great if you also have:
- Co-Pilot experience
- Understanding of manufacturing operations and corporate structures
What you will do on a typical day:
- Managing the President & CEO's calendar, including scheduling meetings, travel arrangements, event coordination, and appropriate allocation of time to highest priority initiatives
- Prioritizing and organizing competing tasks on a daily basis, ensuring optimal time management
- Preparing and editing correspondence, reports, and presentations
- Organizing and maintaining files, records and documentation
- Managing and prioritizing incoming communications, including emails and phone calls
- Acting as a liaison between the President & CEO and internal/external stakeholders - including the Shareholders, Board of Directors, clients, and key partners - ensuring effective communication and follow-up
- Coordinating key company meetings, including board meetings, board committee meetings, leadership team meetings, and site visits, ensuring efficient agenda preparation, distribution of materials, and follow-ups
- Assisting in compiling key performance indicators (KPIs) and operational reports for executive decision-making
- Coordinating quarterly payments for board members
- Handling confidential information with discretion and professionalism
- Coordinating special projects and initiatives as assigned by the President & CEO and other members of the Executive Leadership Team
- Managing the corporate travel program and travel agency operations, ensuring seamless travel arrangements for executives and employees
- Oversee vendor relationships, negotiate contracts, optimize travel policies for cost efficiency, and ensure compliance with company guidelines
- Provide high-level support by coordinating complex itineraries, handling last-minute changes, and ensuring a smooth travel experience while maintaining budgetary controls and reporting
- Leading special projects working with and on behalf of the President & CEO, collaborating with cross-functional teams to drive initiatives forward
