REQUIREMENTS AND PREFERENCES

The Broward County Board of County Commissioners is seeking qualified candidates for Administrative Assistant at the Fort Lauderdale - Hollywood International Airport.

The Broward County Aviation Department which operates the Fort Lauderdale-Hollywood International Airport and North Perry Airport is seeking an analytical, professional Administrative Assistant to assist Aviation's Finance Division with administrative and finance-related clerical duties. The successful incumbent will be the primary backup to the Aviation Department's Payroll Program Coordinator who prepares the bi-weekly payroll and associated reports for over 700 employees. The successful incumbent will also be responsible for updating spreadsheets and logs, processing transactions using the PeopleSoft billing system, preparing daily bank deposits, balancing cash receipts, and reconciling deposit slips. All Aviation Department employees must be able to interact courteously with the public, Airport vendors, contractors, and fellow employees to maintain a professional work atmosphere by acting and communicating in a manner that promotes a positive work environment. This class works under general supervision, independently developing work methods and sequences.

Minimum Education and Experience Requirements
Requires two (2) years of technical clerical, administrative, payroll, financial or closely related experience.
Special Certifications and Licenses
Must possess a valid Florida driver's license during employment and maintain authority to drive on County business.
Ability to obtain and maintain a Security Identification Display Area (SIDA) Badge and Customs Seal.
Preferences
Associate's degree in accounting, Finance or a related field.
Bachelor's degree in accounting, Finance or a related field.
Payroll, Kronos, and PeopleSoft experience.
Intermediate to advanced proficiency in Excel.

Per the Code of Federal Regulations, Title 49, Part 1542, all airport employees must undergo a Criminal History Records Check (CHRC) and a Security Threat Assessment (STA) to obtain a Security Identification Display Area (SIDA) Badge, as required by the Transportation Security Administration (TSA).

DUTIES AND RESPONSIBILITIES

The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the job as necessary.

* Review and audit timecards for payroll sections as assigned
* Prepare timecard adjustments for payroll sections as assigned
* Prepare shoe reimbursement requests
* Monitor and respond to inquiries received in the AVPayroll mailbox, daily
* Distribute Bonus Day Letters, biweekly
* Prepare and distribute PT19 (Casual) employee tracking reports
* Invoice - Monthly OFFRAC Reports
* Invoice - Monthly ONRAC Reports
* Invoice - Monthly OFFPRK Reports
* Invoice - PFCs
* Invoice - US Customs 559 Reimbursements
* Invoice - Monthly Cargo & RCC Utilities
* Invoice - Monthly Fuel Reports
* Invoice - Clerk of Courts
* Prepare & Send to Business - Monthly Fuel Summary Report
* Backup - Enter - Payment Requests as assigned
* Backup - Invoice - Monthly Rents
* Prepare and send the status of accounts for assigned customers and requests received from the BCAD-AR inbox.
* Prepare Overdue Charges (OC/Late Fee) Validations for management review
* Call, email, and/or mail customers for collections
* Respond to customer inquiries
* Answer the finance payment line and assist customers with account balances, submitting payments, and any good-faith requests
* Regularly monitor collection accounts as assigned
* Review and reconcile customer accounts
* Assist with annual interim and year-end audits
* Perform related work as assigned
