Description

Idaho National Laboratory is hiring an Administrative Assistant to work in our Environmental Support & Services department. Our team works a 9x80 schedule located out of our Willow Creek Building facility with every other Friday off.

You will provide high-level administrative support to the Division Director of Environmental Support and Services (ES&S), The Deputy Director, the ES&S management team, and staff. You will work closely with senior leadership (SLT) admins at INL and with DOE and external agencies or companies to support INL environmental, waste management, and cultural resources commitments. In this role you are expected to be proficient in the use of Microsoft Office Suite, Internet/Intranet, and perform administrative functions based on in-depth knowledge of INL administrative procedures. Additionally, experience managing senior leadership schedules, knowledge of Asset Suite, Ariba, P-Card systems, and booking travel will be ideal. You will report to the Environmental Support & Services Division Director.

Responsibilities Include:



  • Compose or types, edits, and proofs a variety of documents, reports, and correspondence. Design and/or create charts and graphs to be used in oral presentations. Initiate and respond directly to correspondence of both routine and non-routine nature. Respond to problems/inquiries and complete periodic and special reports.
  • Order supplies by generating requisitions through our organization provided systems. Is the Point of Contact (POC) and escort for vendors performing maintenance on office equipment.
  • Answer mail, walk-in, and telephone inquiries regarding organization activities.
  • Efficiently manage multiple schedules with accuracy and efficiency while prioritizing needs. Proactively resolve scheduling conflicts and coordinate collaborative meetings.
  • Support office operations by coordinating requests for information or providing general direction to others across INL.
  • Coordinate travel accommodations for organization(s) and prepare travel expense records.
  • Handle project classified and unclassified sensitive data and materials according to protocol while maintaining surveillance against security infractions and violations.
  • Advise managers and personnel in making decisions to retain, store, or destroy organization records, ensuring special record-keeping requirements are met for various record classifications.
  • Maintain office records and files and ensure confidentiality and security of sensitive and controlled documents.
  • Logistical space coordination and onboarding of new employees. Facilitate phone/move requests, and other maintenance and service requests for employees. Property management and space management.
  • Monitor status of critical items, assignments, and deadlines to ensure completion.

Qualifications

Minimum Requirements:



  • Level 3: High School or equivalent and 4 years relevant experience.
  • Prior experience in booking/managing travel, (Concur system is ideal).
  • At least 4 years experience/knowledge of Asset Suite, Ariba and P-Card systems, and familiar with SharePoint.
  • At least 4 years experience working closely with Senior Management & managing multiple busy schedules.


Job Information:



  • The pay range for this position is min $21.90 - $36.13 max. At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.
