JOB SUMMARY

We are seeking a Billing and Collections Manager who will be responsible for overseeing the entire billing and collections process within Doble, ensuring accurate and timely invoicing, managing a team of billing and collections specialists, resolving billing discrepancies, and actively pursuing outstanding payments to maximize revenue collection while adhering to compliance regulations. This is a working manager role that is both highly visible and requires the candidate to roll up his/her sleeves to help the team accomplish their deliverables.

The successful candidate will possess a focus on results and be a highly process-oriented individual. This includes excellent leadership capabilities, proven business partnering and outstanding communication skills with the ability to effectively present to and engage with a wide range of audiences both within and outside of finance and the Company. This role will be based in our Marlborough, MA office reporting to the Controller.

ESSENTIAL JOB FUNCTIONS



  • Coach, train, and develop a team while managing the workflow and prioritization of projects and ensuring on-time execution and completion.


  • Manage and improve the billing process to strengthen controls, reduce errors or discrepancies, and to ensure completeness, accuracy, and efficiency.
  • Manage the collections process to ensure timely submission of invoices into the customer portals.
  • Generate regular reports on key billing and collection metrics like aging receivables, collection rates, and bad debt write-offs.
  • Analyze and report back to management relevant statistics regarding the type and level of billing and collection support provided by the department.
  • Analyze data to identify trends and areas for improvement.


  • Apply working knowledge of revenue recognition rules of ASC 606 - Revenue Recognition to contracts and other relevant accounting pronouncements to ensure that billing and collection processes reflect these accounting considerations.
  • Reconcile customer accounts and payments to ensure accuracy and participate in the Month-end close process.


  • Address internal and external inquiries and disputes in connection with billed and unbilled totals, payment status, and history in a timely and professional manner.
  • Develop and improve departmental support systems, processes, and procedures, including those processes and procedures related to initiating payment via customer portals, to enhance client satisfaction and billing and collection efficiency. Escalate issues to the Controller and other members of management, as needed.
  • Serve as the project lead in the design, testing and implementation of portal integration project.
  • Support the Tax Manager with tax inquiries and requests, tax compliance and reporting, and other tax-related projects.
  • Conform with and abide by all regulations, policies, work procedures and instructions.
  • Assist with projects and perform related duties as assigned.


QUALIFICATIONS

EDUCATION:

Four-year college or university degree with major course work in Finance, Accounting, or Business-related field; OR a combination of experience, education, and training equivalent to a four-year degree.

REQUIRED EXPERIENCE AND SKILLS:



  • Minimum of ten years' experience in billing and collection functions.
  • Prior experience managing financial personnel and projects.
  • Ability to independently plan and organize one's own activities.
  • Strong computer and Excel skills and MS Business Central experience a plus.
  • Strong work ethic, sense of urgency, accountability, and integrity.

PHYSICAL REQUIREMENTS:

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Reasonable accommodations may be made to enable individuals to perform the essential functions of this job. Must be capable of lifting 30 pounds. Must use assistance when lifting 50 or more pounds.

Actual base salary offered to the hired applicant will be determined based on their work location, level, qualifications, job related skills, as well as relevant education or training experience.
