Description

To assist the Director of Financial Aid with all activities related to student financial aid, fiscal activities and database management. This position will also be responsible for a variety of student related activities.


Examples of Duties

Financial Aid 55%

  1. Assist with all activities related to student financial aid for the School of Medicine. Duties include :

assisting with the entering of aid packages and budgets while tracking accuracy.

monitoring the Banner financial aid system to assure students are receiving appropriate funding

coordinating disbursements of student financial aid ensuring that all federal and state regulations are followed

assisting students with the completion of loan applications or any other financial aid questions they may have

  1. Under the direction of the Director of Financial Aid, creates and edits financial aid documents originating from the department which may be complex and/or sensitive in nature.
  2. Under the direction of the Direction of Financial Aid, advises and counsels students, applicants, and families of their eligibility for financial aid, the availability of loans and scholarships, regulations of various programs and the consequences of borrowing to fund their education.
  3. Responds to inquiries from students and graduates concerning their financial aid records and eligibility. Answers inquiries from prospective students concerning their expected eligibility for financial aid.
  4. Conducts informational sessions for prospective students under the direction of the Director of Financial Aid.
  5. Update and maintain comprehensive student files and records and Student spreadsheets to ensure they are accurate which may be confidential.
  6. Provides Debt Management Sessions, Financial Literacy sessions and any other informational sessions under the direction of the Director of Financial Aid. Be willing to stay abreast of these topics and provide these updates via sessions, emails, or flyers.
  7. Assist with Institutional Loan Program and will be the contact for the University Accounting Services for these loans such as PCL.
  8. Works with private loan lender to ensure DACA students have proper funding information.
  9. Work with the VA to complete MD program reports.
  10. Assists with support to the Lincoln Scholars Program.
  11. Provides support to the Director of Financial Aid through direct correspondences, manuscripts, charts, and other specialized correspondences.
  12. Attends Financial aid Workshops from ILASFAA , MASFAA, NASFAA, AAMC (local and National).
  13. analyzes data from various agencies to determine if Federal Direct Student Loans and scholarships awarded must be reduced to avoid overpayment
  14. Works in Banner Financial Aid system, COD, and UAS for financial aid related and loan activities.
  15. Maintains the Director of Financial Aid's calendar.

Specialized Support 45%

  1. Serves as Fiscal Officer Delegate. Must be able to prepare state and foundation vouchers, budget forms, travel, and purchase orders as backup to the Office Manager.
  2. Bi-Weekly Payroll reporter
  3. Provide project database assistance with reporting and gathering of information to the Director of Financial Aid, Associate Dean of Student Affairs and Admissions, and other staff as needed.
  4. Provides support to the medical students, along with the Office Manager, with the planning, organizing, and coordinating of the Winter Ball, Second Year Class Clothing Sale, Senior Week and Wellness Week. Provides support for these events by scheduling meetings, arranging catering, and providing specialized assistance. Instructs students in the proper University procedures, advises them regarding the appropriateness of requested expenditures and authorizes transactions.
  5. Coordinates with Office Manager all activities related to the production, printing and distribution of fourth year medical students' yearbook. Duties will include sending appropriate communication to students, their families and vendors; instructing students in the proper University procedures, authorizing transactions; scheduling meetings, arranging student training, and providing specialized assistance.
  6. Organizes, and maintains along with the Office Manager extensive complex records for all student events which include selling tickets, collection of money, depositing funds, maintaining separate accounts, tracking expenses, and attendees. Assist in maintaining records of unit fiscal transactions for a variety of accounts as they relate to student events.
  7. Coordinate with the Office Manager Student Affinity groups and each Class with setting up meetings for events they want or are required to do along with going over deadlines, budgets, rules, forms to complete and any expectations of university and Student Affairs policies.
  8. Works with Marketing to promote student activities, OSA events and etc when applicable using Canva for flyers, emails, etc.
  9. Utilizes Signup Genius, Survey Monkey, and RedCap to build surveys and data for reports and decision making.
  10. Sensitive to the needs of underrepresented minority populations.
  11. Performs other duties as assigned.

Qualifications

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

  1. Any one or combination totaling three (3) years (36 months) from the categories below:
    1. College coursework in any discipline, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Work experience coordinating office, business, or customer service/relations activities.
  2. One (1) year (12 months) of higher education, student services, or closely related experience.
