This is a remote role, ideally Boca, Florida. Who We Are Looking For: Crisis 24 is seeking a positive, motivated, and detail-oriented individual to join our Private Client Concierge Team. In this role, you will have many duties critical to delivering the highest standard of medical care and customer service to our members, interacting with external vendors and medical offices, and working closely within the Private Client Concierge Team. What You Will Work On:
- Medical Record Collection and Management:
- Maintain and organize patient medical records, ensuring confidentiality and compliance with healthcare regulations.
- Accurately file and retrieve medical records for healthcare providers as needed.
- Assist in conducting research activities as requested.
- Answer phones and handle transfers to medical providers and administrative staff per the established guidelines and protocols.
- Document phone calls and transfers in the system in a timely, accurate and thorough manner.
- Stay informed about and adhere to HIPAA regulations and other relevant healthcare privacy laws.
- Maintain records of patient requests for medical information and ensure proper release of records when authorized.
- Communicate effectively with patients, healthcare professionals, and colleagues to facilitate smooth operations.
- Medical Supply Kit Assembly:
- Prepare and assemble various types of medical kits for registered members according to established protocols and guidelines.
- Ensure the inclusion of the correct medical supplies, equipment, and pharmaceuticals in each kit.
- Maintain a high level of accuracy and attention to detail to prevent errors in kit assembly.
- Inventory Management:
- Monitor inventory levels of medical supplies, equipment, and pharmaceuticals regularly.
- Track expiration dates and shelf life of items and remove expired or damaged products from inventory.
- Reorder supplies as needed to maintain adequate stock levels, considering budget constraints and storage capacity.
- Quality Control:
- Conduct regular quality checks on medical supply kits to verify their contents and integrity.
- Implement quality assurance procedures to ensure that all assembled kits meet safety and regulatory standards.
- Documentation and Record Keeping:
- Maintain accurate records of all inventory transactions, including receipts, usage, and disposals.
- Generate reports and documentation to assist in inventory analysis and planning.
- Collaborate with suppliers and vendors to obtain quotes, place orders, and negotiate favorable terms for the procurement of medical supplies.
- Communicate any supply-related issues or discrepancies to the relevant stakeholders.
- Ensure proper organization and labeling of inventory items.
- Optimize storage arrangements to maximize space utilization and facilitate easy access to supplies.
- Adhere to all regulatory requirements and office policies and procedures for all inventory-related activities, including pharmaceuticals and prescription medications.
- Must have reliable transportation and the ability to travel to and from local pharmacies (and other local businesses, on occasion).
What You Will Bring:
- High school diploma or equivalent (Additional education in healthcare, logistics, or inventory management is a plus).
- Previous office experience in a similar role is advantageous.
- Proficiency in using computer applications.
- Strong organizational skills and attention to detail.
- Familiarity with inventory management a plus.
- Ability to work well in a team and communicate effectively.
- Physical fitness and the ability to lift and move items up to 40 pounds when necessary (with assistance as needed).
- Excellent interpersonal, communication, and customer service skills.
- Ability to maintain patient confidentiality and adhere to ethical standards.
