Responsibilities

Summary

This position performs secretarial, administrative and clerical duties to assist and relieve line staff and Facility Director of clerical details. Assignments generally involve work of a confidential nature and require a general knowledge of the practices and procedures of the function.

Primary Duties and Responsibilities

  • * Transcribes letters, memos and reports using typewriter or word processor.
    * Screens telephone calls, incoming mail, publications and other correspondence. Routes or handles calls and mail not needing supervisor's attention.
    * Maintains calendars and schedules appointments as needed.
    * Handles matters of a routine nature, such as composing replies to correspondence, following up on pending issues and preparing summary information for supervisor's review. May be authorized to make decisions on routine matters as delegated by supervisor.
    * Organizes and maintains files, correspondence, records and confidential information.
    * Schedules appointments, meetings and conferences; notifies attendees and prepares agendas as directed. May prepare materials for presentation and take meeting minutes.
    * Receives, greets, and screens visitors.
    * Makes travel arrangements for supervisor.
    * May carry out special projects and assignments as requested; compiles, analyzes and prepares data for administrative support and presentations.
    * May monitor inventory levels of supplies office; initiates purchase orders as necessary.
    * Performs related duties as assigned.

Qualifications

Minimum Requirements

  • High School diploma (or equivalent).
  • Two years of secretarial experience, preferably where administrative support has been given.
  • Must be proficient in Microsoft Word, Excel, Power Point, Outlook and Internet.
  • Familiar with current office procedures. Knowledge of the fundamentals of office organization.
  • Able to handle a variety of simple to moderately complex tasks, while keeping work flowing in an orderly manner. Express thoughts logically, in English, in both written and verbal form, using correct grammar; work independently and write reports; converse with visitors and telephone callers in such a way as to portray the professional atmosphere of the company; effectively interact with residents and staff.
  • Ability to use computers and the typical software used by the facility.
  • Must have a valid Arionza driver's license.
