Overview The Nexus Water Group has an opportunity for a Project Coordinator. This position supports the delivery of projects of varying size and complexity, primarily related to water and wastewater utilities. The role will be responsible for coordinating, organizing, and controlling project activities under the direction of the manager. Work Location and Schedule This position can be primarily based in Altamonte Springs, FL with some travel. What You'll Do
- Handles project documentation, including filing, processing invoices and change orders, financial reporting, and requests for expenditure.
- Develops and maintains strong relationships with internal and external stakeholders.
- Communicates relevant project information to internal or external project stakeholders and the public, facilitates communication between parties, and creates and maintains activity and progress reports.
- Assists with engineering proposals and bids, monitors project budgets, construction activity and coordinates timing with operations as needed.
- Provide support to the project and perform various project and/or field assignments under direction from the direct manager, Area Manager/Operations Manager, or Project Manager.
- Ensures project needs are met in a timely and cost-effective manner by tracking all budget related information such as hours worked and expenses, preparing invoices and requests for expenditure, assisting with budget and report preparation.
- Coordinates contractors help with projects as needed, which may include reviewing reports or proposals from external engineers or contractors and ensuring action items are addressed in a timely manner.
- Adheres to document management processes and assists with the preparation, review, submission of project documents. Paperwork may includes: POs, invoices, legal documents, Letters of Intent, Request for Proposals/Request for Tenders, bid evaluations, contracts, quotes, bids, and notifications to bidders, project close-out documents, etc.
- Ensures contract fulfilment by communicating requirements to external parties (such as contractors, developers, engineers), and notifies management of escalations or items that could impact project success.
- Coordinates and completes the work necessary to obtain approval on emergency projects.
- Based on project needs, may order and ship new materials, tracks inventory, and forecasts what materials are required to ensure optimal inventory management.
- Assists State Operations with monthly capital spending review, yearly capital planning and status of all open projects.
- May assist with commissioning new service connections and their handover to Operations.
- May facilitate the project design process: ensuring timelines are adhered to, assemble required construction drawings for review, and track and report on progress of design and construction identifying any risks to timelines in a proactive manner.
- Attends project/capital meetings as required; may distribute minutes to relevant team members.
- Performs other related duties as assigned.
What You'll Bring Experience
- 1+ year related experience preferred.
Education
- Bachelor's degree in Engineering, Business Administration or in a similar field preferred OR Post-secondary technical diploma in project management
- Years of experience would be considered in place of education
Knowledge Skills, and Abilities
- Proficiency with MS PowerPoint, Word, Excel, Outlook; ability to learn internal software programs
- Proficiency with Microsoft Project and/or other project management software
- Ability to understand project management methodologies
- Ability to calculate basic mathematical equations.
- Ability to read soil and hydro-geological reports and maps.
- Ability to read engineering drawings and reports
- Ability to read permitting documentation, commission reports, contracts and other technical information
- Ability to complete work that will ensure the approval of all capital projects in a timely manner.
- Ability to keep accurate records and prepare and submit accurate reports.
- Ability to follow verbal and written instructions.
- Excellent organizational and problem-solving skills, including negotiating, decision-making research and analysis, and interpersonal skills.
- Ability to foster a safe working environment for fellow workers and vendors.
- Ability to effectively communicate and interact with employees, project stakeholders, including the public.
- Ability to motivate others in the pursuit of Company goals.
Work Environment
- Moderate physical demands; may include lifting (40 lbs.), walking (2+ miles), climbing.
- May occasionally or frequently travel between worksites on Company time.
