Job Title: Secretary / Executive assistant

Location: Bartow FL 33830

Duration: 3-4+ Months

Works hours: 8:00 AM to 5 PM (M-F)

Job Description:

  • Must have the physical , developmental and mental ability to perform job tasks, work efforts, responsibilities and duties of the job illustrated below:


Major Function:

  • Provide high-level administrative support by conducting research, preparing reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.


Roles & Responsibilities:

  • Answer telephones and take messages or transfer calls.
  • Arrange staff meetings.
  • Compose and edit documents.
  • Handle incoming and outgoing correspondence.
  • Maintain databases and filing systems, whether electronic or paper.
  • Perform basic bookkeeping.
  • Prepare memos or other reports.
  • Schedule appointments and update event calendars.
  • Prepares staff travel request/return.
  • Coordinates Facility work orders.
  • Coordinates IT work tickets.
  • Monitors Division Director e-mail.
  • Maintains staff membership files for Professional certifications.
  • Coordinates replacement/servicing of office equipment.
  • Other administrative and clerical functions as assigned.
  • Provide information by accessing alphabetical, geographical, or other directories.
  • Perform a variety of clerical and administrative duties necessary to run the division efficiently.
  • Use computer software to create spreadsheets; manage databases and prepare presentations, reports, and documents.
  • Purchases supplies, manage stockrooms or division libraries and tracks employee equipment.
  • May also use videoconferencing, fax, and other office equipment.
  • Provide day-to-day support services for division management.
  • Serve as a backup for accounts receivables, payable and payroll.
  • Process orders/receipts/Invoices using related programs and software.
  • Assist with various projects as required (i.e. Annual Assessment Roll, Office Inventory, various quarterly/annual reports).
  • Coordinate and/or participate In various division meetings and record minutes.
  • Maintain division employee compliance tracking (i.e. PPE records, boot replacements).
  • Employee Orientation, Defensive Driving, investigator Certification Training.


Knowledge, Abilities and Skills:

  • Decision making skills. Secretaries often prioritize tasks and make decisions on their employers' behalf, so good judgment is essential.
  • Interpersonal skills. Secretaries interact with clients, customers, or staff. They should communicate effectively and be courteous when Interacting with others to create a positive work environment and client experience.
  • Organizational skills. Secretaries keep files, folders and schedules in proper order so an office can run efficiently.
  • Writing skills. Secretaries write memos and emails when communicating with managers, employees, and customers. Therefore, they must have good grammar, ensure accuracy, and maintain a professional tone.


Required Qualification:


  • Graduate of an accredited high school or possess an acceptable equivalency diploma and have a minimum of three (3) years secretarial office or clerical work experience.
  • Must be able to type a minimum of 45 CWPM with a maximum of 10 errors.
  • Must be proficient with and able to navigate a variety of Office suite software, including Excel spreadsheets for much of tracking work completed by this position.
  • Must be able to utilize all features afforded by word processing and other required software and personal computers utilized by the work unit.
  • Must possess a valid driver's license and be able to secure a valid Florida driver's license at the time of employment.
  • A comparable amount of related training and experience may be substituted for the minimum
  • qualifications, except for the high school diploma/GED.


SPECIAL PREFERENCES:


  • Direct experience working with diverse groups of people and responsible experience receiving and maintaining confidential and sensitive information, documents, and forms.
  • This position may be required to report for work when a declaration of emergency has been declared In Polk County.
