This opportunity is for an Administrative Assistant 1 for the AE/DS County Program for Bedford and Somerset Counties. The position is located in Bedford supporting the Department in daily Waiver/Program Type activities. Assists in the work flow management and coordination of the department. Communicates effectively with the Administrative Entity, Supports Coordination Organizations, Providers, and county and state representatives. Assists individuals and families with the provision of HCB services as needed. Creates a positive, teamwork environment. Supports and encourages best practices. Ensures confidentiality. DESCRIPTION OF WORK

This position supports the Administrative Entity (AE) / Developmental Services (DS) County Program. Assists in the work flow management and coordination of the department. Communicates effectively with the Administrative Entity, Supports Coordination Organizations, Providers, and county and state representatives. Prepares Waiver packets for participant eligibility. Assures Waiver packet documents are current/accurate, manages requests, tracks data, and notifies appropriate parties. Prepares Advance Notice requests and tracks the timeline for each request.

Organizes and maintains records. Maintains the AE Waiver Database for Waiver and HSDF-Base Maintenance waiver Ineligible participants. Ensure all data and information in Database is accurate and up to date. Responsible for retrieving data from State computer system. Assists in formatting/proofing, revising, and routing of Waiver financial requests, obtaining signatures, and maintaining workbooks for tracking purposes. Supports the DS Intake/Registration process by acquiring and gathering documents, scheduling intake sessions, preparing documents, and sending correspondence. Communicates with individuals and families and completes process in State and DBHS Agency computer system. Support Waiver Program activities by responding to correspondence for staff, typing, organizing, filing, and copying Waiver/Program Type documentation.

Assist and support departmental projects, developing documents, analyzing information, preparing summary reports, and keeping record of project work papers. Establish and maintain good working relationship with Admin officials, Office of Developmental Programs, and the general public. Serves as minutes/correspondence note taker for meetings as requested, transcribes, and distributes. Provide support with video conference equipment. Manages Waiver Program supplies/purchasing, invoices associated with vehicle requests, the scheduling of professional development/meetings/conferences, and correspondence filing. Responsible for handling calls/requests/mail. Provide clerical support to the Maintenance Department. Serve as back-up receptionist/switchboard operator.

Perform other related duties as assigned.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • On occasion, staff may need to work outside of the set work week to complete projects, meet work demands or in the event of an emergency.
  • This position reports to the DBHS Office for work. Upon hire, new staff begin training and are on probation for 6 months. New staff may be eligible for a hybrid of on-site and remote work after 3 months of employment.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university; or
  • Any equivalent combination of experience and training.
  • Applicants will be considered to have met the educational requirements once they are within 3 months of graduating with a qualifying degree/credits.

  • You must be able to perform essential job functions.

Legal Requirements:

  • You must pass a background investigation.
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
  • This position falls under the provisions of the Child Protective Services Law.
    • Under the Law, a conditional offer of employment will require submission and approval of satisfactory criminal history reports including, but not limited to, PA State Police clearance, PA Child Abuse history clearance, and FBI Fingerprint clearance.
