Hospitality Coordinator

Overview:

Manages the organization and execution of catering orders with operational excellence and genuine hospitality. Attention to detail, highly organized and willing to contribute creatively to the team. Manages the firm's resources (people, processes and tools) and assignments with proficiency, fluency and aptitude. Effectively embodies and expresses the firm's values and mission.

Responsibilities:

  • Maintains common conference rooms at a presentable state on an ongoing basis
  • Coordinates ordering and delivery of refreshments for meetings
  • Manages catering set up and tear down for events
  • Finalizes menu items and head counts before the event to guarantee the catering order will be appropriate for the group size and firm budget
  • Manages coffee machines and respective supplies in the office
  • Communicates effectively with staff or visitors to execute catering orders
  • Fields incoming phone, web and email inquiries within firm standards
  • Maintains existing contacts and relationships for catering needs while also able to find new options as needed
  • Maintains multiple vendor relationships
  • May negotiate pricing on catering orders and respective supplies
  • Monitors inventory levels and initiates action to correct inventory discrepancies, specifically regarding catering & respective supplies; ensures appropriate merchandise flow-through and replenishment processes are in place
  • Maintains orderly and organized work area to facilitate efficient processes and storage of supplies
  • Provides coverage for reception on a regular basis as needed

Qualifications:

  • Professional degree in Business, Operations or an equivalent combination of education and experience
  • Typically with 5+ years of experience
  • Proficiency in MS Office Suite preferred, including Excel, Outlook and Word
  • Familiarity with contracts and special invoicing and reporting requirements for respective sector
  • Strong interpersonal skills and the ability to interact with all levels of staff
  • Strong organizational skills and the ability to work on multiple projects at the same time
  • Strong work ethic and eagerness to produce high quality, accurate results
  • Ability to hold sensitive information with a high level of confidentiality and integrity
  • Ability to communicate and present ideas in a clear, concise and professional manner both verbally and in writing
  • Ability to proactively problem solve and apply innovative solutions
  • Ability to collaborate and encourage collaboration in a team environment, and ability to work independently and prioritize work
  • Ability to effectively meet deadlines at expected quality
