Job Description

The Senior Student Support Specialist will play a vital role in planning, coordinating, and executing student-focused programs, recruitment initiatives, and engagement activities for the Offices of Medical Education- Pre-Professional Programs and Community, Professional Proficiency, and Student Success (CaPS). This position will lead event logistics, manage student outreach efforts, and support pathway programs that connect pre-professional students with valuable academic and career development opportunities. Additionally, the role will provide administrative support for the Associate Dean for Student Affairs and the Associate Dean for Pre-Professional Programs.

This position is 1.0 FTE and requires strong organizational, communication, and event management skills.

Key Responsibilities

Program & Event Coordination

* Assist in the organization and execution of student engagement events, including recruitment fairs, pathway program activities, and events sponsored by the Office of Community, Professional Proficiency and Student Success (CaPS).
* Manage event logistics such as securing venues, coordinating catering, arranging travel, and overseeing technology needs.
* Assist in developing marketing materials and outreach strategies to increase student participation.
* Coordinate program evaluations, track student participation, and compile reports on program effectiveness.
* Serve as an on-site event coordinator, ensuring smooth execution from setup to teardown.

Student Engagement & Recruitment

* Assist in the development and implementation of student outreach initiatives for pathway programs and pre-professional student recruitment.
* Manage communication with prospective students, applicants, parents, and program participants via email, phone, and online platforms.
* Track and monitor student attendance for Pathways to Success Program events and maintain program compliance records.
* Support mentorship initiatives, networking events, and student success programming.

Administrative Support

* Provide scheduling and meeting support for the Associate Dean for Student Affairs and the Associate Dean for Pre-Professional Programs.
* Coordinate travel to conferences/meetings and submit travel re-imbursement requests
* Oversee Protection of Minors Youth Registry compliance for student-facing programs.
* Order and maintain program materials, recruitment supplies, and event resources.
* Monitor and update Pathway/Outreach web applications and email communication.
* Assist with other CaPS initiatives as needed.

Shift

Shift Type: Monday through Friday 8am - 5pm

Pathway programming support will require occasional weekend and/or after business hours.

Flexibility for Alternative Schedules: Yes

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Excellent organizational skills with attention to detail and ability to prioritize.

Preferred Qualifications

  • Experience in event planning, student programming, or recruitment coordination.
  • Strong communication skills and ability to engage with diverse student populations that range from third grade through post baccalaureate.
  • Familiarity with higher education student success initiatives and pathway programs.
  • Ability to manage multiple projects simultaneously and work independently.
Anticipated Hiring Range

Hiring Range: $19 - $26 / hour
