-Perform duties under moderate supervision with intermediate to advanced proficiency in administrative skills.
-Provide routine and more complex administrative support such as: creating presentations and reports, ordering supplies and answering phones. -Coordinate calendar and schedules for both clinic leadership and the department -Coordinate practice-wide events for staff and providers -Proofread and edit manuscripts, perform library or literature searches, and help to create and edit presentation materials. Work with less direction with ability to create more advanced material. -Helps to prepare and edit grant applications and other related materials with less direction and more applicable knowledge of the process. -Complete new hire checklist for onboarding providers and staff -Coordinate schedules for new employee orientations (providers and staff) -Manage clinic session trackers for all faculty PCP and Urgent Care doctors to monitor time-off and clinic expectations -Manage and distribute Urgent Care schedule. Communicate with BWH residency office and Urgent Care providers to ensure adequate Urgent Care coverage based on clinic needs. -Manage various practice-wide schedules and projects, including weekly provider conferences, faculty PCP on-call coverage, resident ambulatory schedules, etc. -Maintain all practice-wide documents, email lists and instructions. Distribute and update as needed. -Maintain online website with updated resources and information for practice employees -Manage ordering and installation of all practice and exam room equipment (computers, printers, etc.) -Provide on-site assistance with technological or equipment issues -Assist with training and orienting staff as needed. -Provide cross coverage as needed. -Assist with special projects as directed. -Follow HIPAA guidelines for the management of patient privacy and confidentiality. -Other duties, as assigned. Education High School Diploma or Equivalent required or Associate's Degree Business Administration preferred or Associate's Degree Related Field of Study preferred Can this role accept experience in lieu of a degree? No Licenses and Credentials Experience Experience in an administrative role, preferably in a healthcare setting 5-7 years required and Experience supporting senior-level staff 1-2 years preferred Knowledge, Skills and Abilities - Proficient in Microsoft Office Suite (Word, Excel, Power point, Outlook). - Excellent verbal and written communication skills. - Strong organizational and multitasking abilities. - Ability to work independently with minimal supervision. - Strong attention to detail and problem-solving skills. - Familiarity with hospital administration processes and healthcare regulations. - Professional demeanor and ability to interact effectively with all levels of staff.
