Who We Are

Located in the scenic Puget Sound area with Mount Rainier in the distance, Tacoma is the third largest city in Washington State with a thriving and diverse community of over 200,000 residents. Tacoma Community College (TCC) was built on the ancestral territory of Coast Salish peoples, specifically the Puyallup and Squaxin Island Tribes. The 1854 Medicine Creek Treaty forcibly removed them to Reservations to make way for colonizers; we recognize the privilege of utilizing this land has come at great cost. We honor the resilience of the Puyallup and Squaxin Island people, who still live here, defend their rights, and contribute greatly to the well-being of our community. Our institution aims to increase partnerships and community ties with the local indigenous populations. Moreover, TCC stands in solidarity with Black Lives Matter and the Black community by further strengthening collaboration with the Black Student Union as well as community entities such as the Tacoma-Pierce County Black Collective, the Tacoma Urban League, and local black-owned businesses. In addition, we strongly support the Stop Asian Hate movement and have an active Asian Pacific Islander Student Club as well as an Asian and Pacific Islander Faculty and Staff Coalition. TCC is committed to developing more culturally responsive curricula by infusing and incorporating more educational content focused on the lives, experiences, and contributions of Native, Black, Asian, and other marginalized communities. Position Summary
The Enrollment Services Data Entry Coordinator plays a key role in keeping our official transcript processing smooth and accurate. This role will help make sure transcript data is entered into our student database correctly, following our established procedures. This position will work with relevant stakeholders to provide the support they need in relation to transcripts sent to the institution.

Essential Functions

Data Entry and Documentation:

  • Scan transcripts and other documents into the OnBase system.
  • Accurately, enter transcript data into the institution's student information system.
  • Update and maintain records to reflect changes such as enrollment status, name updates, or other student information modifications.
  • Assist in resolving discrepancies in data by coordinating with relevant departments.
  • Perform quality checks on data entered to ensure accuracy and completeness.
  • Prioritize incoming transcripts based on graduation status.

Transcript Coordination:

  • Review incoming transcripts for accreditation and authentication.
  • Monitor the progress of transcripts throughout the processing workflow to ensure timely handling.
  • Collaborate with other departments to manage transcript-related inquiries and provide copies as needed.

Retention and Purging:

  • Ensure records are retained and disposed of per institutional and legal requirements.

Communication and Support:

  • Ensure prompt responses and effective coordination of transcript-related communications.
  • Work with departments and staff to address general questions and provide necessary information.
  • Represent the Enrollment Services on college committees and work groups as assigned.
  • Perform other related duties as assigned

  • Excellent customer service skills in person and over the phone. Skill in building and maintaining internal and external customer satisfaction.
  • Skill in using data and information to assess and understand issues, evaluate options, form conclusions and make decisions.
  • Ability to work efficiently and effectively in a deadline oriented high-pressure environment.

Duties of the position's required experience
  • High school graduate or equivalent
  • 2 years of experience performing similar record keeping and data functions
  • OR equivalent education and/or experience
  • Experience with Microsoft Word, Excel, PowerPoint, internet web browser, and email.

Terms of Employment
This is a full-time classified position scheduled to work Monday through Friday 8:00 am - 5:00 pm. Summer schedule will be Monday through Thursday, 10-hour days. Flexibility in scheduling is required to meet department needs and some evening/weekend hours may be required. The salary range $ 3,558 to $ 4,632 monthly. The schedule is to be determined and must be available during key events such as commencement, professional development activities, and other campus events. Must be available in the evenings and weekends as needed. The summer schedule may vary to four 10-hour days. Office location is Building 18 on the TCC main campus.
