Executive Search Services ( ESS) provides comprehensive executive search assistance for executive and high-level and critical positions at the university (Deans, Vice Chancellors, Associate and Assistant Vice Chancellors and Provosts, Directors, Department Heads, exempt professionals, etc.). The services range from consultation and advice on search and recruitment strategies to handling logistics of searches and on to finalization of offers and relocation.
Essential Job Duties
Serving as an integral part of the Executive Search Services team, the Junior Executive Search Specialist provides expertise and services in carrying out technical and logistical support for executive searches under the direction of the Director and Senior Executive Search Specialist, and Executive Recruiters, adhering to high expectations for accuracy, timeliness, and customer service.

Responsibilities include:

  • Assists the Senior Executive Search Specialist with planning, scheduling, and coordinating logistical and technical tasks related to candidate identification, screening, interviewing, reference checking, relocation, and follow-up;
  • Assists the Senior Executive Search Specialist with the purchase and billing for goods and services related to multiple searches. This includes reconciling P-Card transactions and billing campus for search fees and search expenses.
  • Corresponds to a variety of internal and external customers on behalf of the unit.
  • Serves as a liaison between finalists and university services (i.e. relocation services)
  • Some searches are drawn out- handles logistics over a long period, multiple trips, etc.
  • Develop tools for committee, manager and candidate experience: evaluation tools; marketing materials; checklists for experience, process, etc.
  • Connect/share information specific with target hires (i.e. FM Relocation, Coldwell Banker)
  • Working with other areas of HR to facilitate related activities such as C&C to gather information regarding salary, CUPA data, internal equity, etc.
  • Direct candidate experience contact. Provide tours of campus, airport transport, on-campus transport between interviews, set up presentations, managing sessions/events.
  • Set up interviews (ie. Doodle polls, Zoom interviews), coordinate all of the schedules, gather availabilities, coordinate visits, etc.

Other Responsibilities
Special projects as needed to assist ESS in maintaining industry best practices. Escort candidates to and from interview sessions in absence of Director and Recruiters.
Qualifications


Minimum Experience/Education
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Relevant knowledge and/or experience in human resources, business, or sales that transfers to the position duties.
  • Strong organizational skills with the ability to juggle concurrent priorities and prioritize tasks based on customer and/or organizational needs.
  • Demonstrated high degree of dependability, reliability and trustworthiness including the ability to build and sustain trusting relationships with teammates, customers, and partners across the university.
  • Advanced abilities with software and online tools.
  • Excellent verbal and written communication skills and high level of professionalism.

Preferred Qualifications
  • Prefer some experience in staffing, event management, or other closely related field.
