Summary of Job Duties:The Administrative Support Specialist works under the supervision of the Academic Dean for General Education.

SUMMARY JOB DUTIES :
*Serves as first point of contact for visitors to the Division of General Education. Manages day to day office duties such as but not limited to greeting visitors, answering and routing incoming calls and emails, distributes mail, manages purchase requests, provides information upon request to guest and students, and faculty and staff, orders and maintains office supplies
*Maintains departmental records and documentation as directed, including but not limited to, faculty office hours, faculty leave, student records, program accreditation, program assessment, and program curriculum changes.
*Assist in the placement of early childhood development, education, and honors program students for field placements or for service-learning hours. Maintains student files and coordinates communication with student and placement sites.
*Assumes various Workday (college operating system) roles, including but not limited to cost center budget specialist, expense data entry specialist, and requisition requester.
*Assists in preparing departmental advisory meetings, and attends and record meeting minutes. This may require evening work on occasion.
*Maintains updated information in the college catalog and other literature related to programs within the Division of General Education.
*Ensures updates are made to syllabi and plans of study, proofs instructor's Blackboard shells for accuracy.
*Compiles various reports as scheduled and upon request.
*Helps with training and supervision of work-study positions and assist with special projects
*Performs other duties as assigned. Qualifications:

MINIMUM QUALIFICATIONS:

  • The formal education equivalent of a high school diploma.

  • One year of work experience in a specialized or related area applicable to work performed.

Other job-related education and/or experience may be substituted for all or part of the minimum qualifications upon approval of the Chancellor.

PREFERRED QUALIFICATIONS:

  • Two years of specialized training in general office work, including Microsoft Office Certifications - Word and Excel.

  • Proficient is the use of computers and computer programs such as, but not limited to Microsoft Office Suite, Adobe Acrobat DC, and etc.

  • Ability to communicate effectively both orally and in writing.

  • Ability to perform basic research, analyze information, prepare reports in a logical and informative manner.

  • Knowledge of record keeping procedures.

  • Knowledge of basic arithmetic.

  • Knowledge of basic grammar.

  • Ability to establish and maintain logical filing systems.

  • Ability to operate standard office equipment.

  • Ability to analyze documents to determine compliance with rules, regulations, and procedures.

  • Ability to handle sensitive information with discretion and confidentiality.

  • Ability to deliver customer service to a diverse student population.

Salary Information:

Salary range: $27,500 to $32,500
