Executive Assistant to VP, Business Operations

This is a hybrid role required to be in our Mount Laurel, NJ Headquarters at least 2 days per week.

Reports To Vice President Business Operations

Position Summary Executive Assistant to the Vice President of Business Operations plays a critical role in providing high-level administrative and operational support. This position ensures the seamless management of schedules, preparation of confidential documents, and coordination of agreements, reporting, and other essential tasks. The role requires exceptional organizational skills, attention to detail, and discretion.

Essential Job Duties and Responsibilities

  • Compose and prepare confidential correspondence, reports, and other complex documents.
  • Maintain schedule for VP Business Operations
  • Prepare and maintain Purchase Agreements, Dealer Agreements, and Employment Agreements.
  • Maintain Teknion lease files
  • Complete required Public Sector reporting and ad hoc reporting .
  • Complete vendor and contractor prequalification forms.
  • Review and approve accounts entered in Salesforce
  • Handle ad hoc projects as they arise including project reconciliations and similar exercises.
  • Prompt, reliable and regular attendance.

Additional Job Duties and Responsibilities

  • Prepare and maintain various spreadsheets related to contracts and miscellaneous issues.
  • Submit UCC filings in Lien Solutions
  • Obtain insurance certificates for showrooms, customers, and projects
  • Assist RVPs and sales personnel with ad hoc requests
  • Make travel arrangements for VP Business Operations for business trips.

Experience, Skill and Educational Requirements

  • Extensive experience with Microsoft Word.
  • Extensive experience with Microsoft Excel.
  • Minimum 5 years' experience as an administrative assistant.

Required to become or maintain a Notary Public in NJ.
