Role Summary

The Fleet and Logistics Specialist is responsible for supporting oversight of the company's impressive and expansive fleet of more than 800 grading, paving, quarry, heavy equipment, and licensed vehicles. Project responsibilities include supporting the Equipment Manager with vehicle acquisition, maintenance, driver management, route planning, ensuring compliance with regulations, and optimizing the overall efficiency and cost-effectiveness of the fleet operations.

Key Role Responsibilities

Vehicle Procurement and Maintenance



  • Assess fleet requirements & procure vehicles to meet operational needs.
  • Develop and oversee preventive maintenance schedules
  • Ensure vehicles comply with safety and regulatory standards.
  • Coordinate repairs and address breakdowns promptly.



Budget Management



  • Monitor and control fleet expenses, including fuel, maintenance, and insurance.
  • Prepare and manage the fleet department's budget.
  • Identify cost-saving opportunities while maintaining operational efficiency.



Compliance and Documentation



  • Ensure fleet operations adhere to federal, state, and local regulations.
  • Maintain accurate records of vehicle inspections, registrations, and licenses.
  • Oversee compliance and environmental and emissions standards.



Driver Management



  • Recruit, train, and supervise drivers.
  • Develop policies for driver behavior and safety standards
  • Monitor driver performance through telematics of other systems.



Fleet Operations Optimization



  • Use GPS or fleet management software to track and optimize routes.
  • Analyze fleet performance metrics and implement process improvements.
  • Minimize downtime through efficient scheduling and resource allocation.



Safety and Risk Management



  • Conduct safety training and enforce safe driving practices.
  • Investigate accidents and implement preventive measures.
  • Manage insurance claims and resolve disputes.



Inventory Management



  • Monitor and manage fuel inventory and usage.
  • Ensure the availability of spare parts and replacement components.



Vendor and Supplier Management



  • Negotiate contracts with vehicle manufacturers, fuel suppliers, and service providers.
  • Monitor the performance of external vendors and ensure service quality.



Reporting and Analytics



  • Generate reports on fleet utilization, cost analysis, and performance.
  • Present data to stakeholders for strategic decision-making.



Environmental Sustainability



  • Implement green initiatives, such as using fuel-efficient vehicles or alternative energy sources.
  • Develop strategies to reduce the fleet's carbon footprint.



Knowledge, Skills & Abilities



  • Three plus years of work experience supporting similar key position responsibilities.
  • Possess valid Driver's License with safe driving record.
  • Extensive knowledge of current trends and technological developments pertaining to vehicle operations and maintenance.
  • Knowledgeable of applicable Department of Transportation Motor Carrier Safety Regulations.
  • Must have knowledge of principles and practices of management, budgeting, and cost control.
  • Skilled with Microsoft Office Suite, Word, Excel, Outlook, and PowerPoint.
  • Must be highly organized, and able to multi-task to meet varying deadlines.
  • Supervisory experience a plus.



Physical Demands



  • Mobility: Regularly walking, standing, and moving around a facility or vehicle lot with uneven terrain.
  • Climbing: Occasionally climbing stairs or ladders to access vehicle compartments at 8-10 feet off the ground.
  • Bending and Reaching: Bending to inspect vehicle undercarriages or reaching into tight spaces to check components.
  • Lifting: Lifting and carrying moderate weight items, under 20 pounds.
  • Visual acuity: Ability to clearly see vehicle details during inspections.
  • Weather tolerance: Working outdoors in various weather conditions, depending on the job setting.
