Description

Idaho National Laboratory (INL) is seeking an Administrative Assistant in the Laboratory Director's office (LDO) directorate to provide professional administrative support and manage general office tasks for the staff of the Laboratory Director's office, senior leadership team and reporting staff. The roles require the capability to independently review, prioritize, delegate, or act upon organizational requests with minimal direction and with the highest degree of quality. The successful candidates will work independently and as a team member, exhibiting creativity and ingenuity to resolve complex problems within their area of responsibility. A high level of business acumen and confidentiality is essential, and they must quickly and effectively process, comprehend, and respond to critical information related to the team's mission and vision.

Responsibilities include:



  • Meet, greet, escort, and provide hostess support to visitors and customers into the office suite and surrounding vicinity.
  • Strategically prioritize, coordinate, and deconflict staff's schedule and time commitments, including arranging complex travel arrangements and related expense reports while following required policies and procedures.
  • Coordinate closely with leadership and staff to determine priorities, ensuring timely completion and significantly contributing to the achievement of organizational milestones, laboratory goals, and objectives. Identify and track action items to completion and at the highest level of accuracy.
  • Initiate and respond directly to administrative responsibilities, addressing and resolving problems and inquiries, and complete requests by researching, compiling, and summarizing data, utilizing extensive knowledge of organizational policies and structure.
  • Monitor a broad spectrum of business functions and independently review actions, resolve issues, and escalate significant matters to the appropriate management level. Utilize extensive personal knowledge and experience to interface with all levels of management and personnel, effectively executing administrative functions.
  • Organize and execute routine and non-routine meetings and special functions/events, including the preparation of logistics and deliverables.
  • Prepare and coordinate deliverables (correspondences, reports, materials, laboratory documents, etc.) issued by the senior leadership team or reporting staff, reviewing and editing for format and appropriate content, and ensuring high-quality and timely output.
  • Complete acquisition of materials and services, following required guidelines. Complete property inventories and manage vehicle maintenance requirements for the department. Assist with the scheduling and maintenance requests required for the operations of the department.
  • Maintain confidentiality and security of administrative and technical information, including sensitive data, in accordance with company policies and procedures.

Qualifications Minimum Requirements:

  • Level 2: High School diploma and 2 years of relevant experience.
  • Level 3: High School diploma and 4 years of relevant experience.
  • Exceptional organizational, communication (oral and written), along with writing and proof-reading skills are critical. Broad-based knowledge of executive-level administrative roles and responsibilities and business acumen is preferred.
  • Proficiency in managing multiple schedules and organizing complex meetings internal and external
  • Requires advanced proficiency on standard software and systems such as MS Word, PowerPoint, and Excel.
  • Ability to identify tasks or activities to further the INL mission.
  • Require excellent written and verbal communication skills and involve a high throughput of correspondence requiring proofing for typographical accuracy, grammar, and content for letters, reports, graphs, charts, and manuscripts.
  • Team player and the ability to take directions and proactively solve administrative issues in a professional manner with all employees, customers, and management in a cordial and professional manner.


Job Information:



  • The pay range for this position is: Level 2 ($19.88 - 31.80) / Level 3 ($22.43 - 37.00). At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.

  • Multi-Level: This is a multi-level posting and you will be placed at the appropriate level dependent on depth and breadth of proven experience and skills.
