Summary
Summary of Position

The Office of Experiential Education (OEE) Specialist manages the day-to-day operations of the OEE under the guidance of the Office Director and is charged with high level administrative responsibilities and making decisions based on administrative policies. This role supports the delivery of the College's experiential education rotations by collaborating with students, faculty, and preceptors to ensure compliance with program requirements. The position involves generating reports, monitoring compliance, and maintaining consistent communication through email, phone, and text. The Specialist utilizes Microsoft 365 and online databases to carry out their responsibilities effectively. This individual is expected to perform the required duties with general administrative supervision or direction while exercising discretion and independent judgement, work independently, demonstrate professional communication, prioritize tasks efficiently, and maintain confidentiality.

Major Duties & Responsibilities

  • Ensure Compliance: Understand and ensure experiential education outcomes align with program and accreditation standards.

  • Manage Requirements: Oversee student and preceptor requirements for experiential rotations, including assignment submissions and evaluations, ensuring appropriateness and compliance with criteria (e.g., free from patient-specific information).

  • Communication: Maintain regular, professional communication with students, preceptors, and faculty regarding necessary actions, deadlines, and consequences for non-compliance.

  • Preceptor Onboarding: Manage preceptor onboarding and on-going profile edits and database management in the experiential education learning management system.

  • Data Management: Compile and prepare reports on academic, personnel, and administrative matters, utilizing organized and effective computer graphics.

  • Graduation Clearance: Ensure all graduation requirements are met and communicate with Boards of Pharmacy regarding hours and graduation status.

  • Compliance Monitoring: Address compliance and contract issues with preceptors, coordinators, and students.

  • Expense Management: Track, manage, and process program expenses, such as preceptor stipends and other experiential costs.

  • Development Support: Assist OEE Faculty Course Coordinators by providing preceptor and student development materials, conducting site visits, and supporting experiential program activities.

  • Regulatory Awareness: Monitor and address federal and state regulations affecting experiential education, such as FERPA, HIPAA, and NC-SARA.

  • Policy Development: Contribute to the development and refinement of office policies and procedures.

  • Administrative Support: Provide administrative assistance for experiential education development initiatives.


Qualifications
Minimum Qualifications:

  • Education & Experience:

  • High School Diploma or equivalent, and

  • 2 years of related administrative experience from which comparable knowledge and skills can be acquired is required

  • Computer Skills:

  • Strong proficiency in Microsoft 365 applications, including Word, Excel, Teams, Outlook, OneDrive, SharePoint, and PowerPoint.

  • Ability to learn and effectively use online databases and web-based applications (e.g., CORE ELMS, Complio, Brightspace, Campus Web).

  • Interpersonal Relations Skills:

  • High level of personal initiative, confidentiality, and attention to detail.

  • Professional and efficient oral and written communication skills.

  • Strong interpersonal skills with the ability to collaborate effectively across various levels of the organization.

  • Proficient in time management and organizational skills, capable of managing cyclical projects and meeting deadlines.

  • Independent decision-making and problem-solving abilities.

Preferred Qualifications:

  • Bachelor's degree

  • 2-3 years of administrative experience in an academic or health professions setting.

Physical Demands

  • Approximately 7 hours per day working at a keyboard.

  • Ability to stoop, bend, and reach.

  • Ability to lift up to 25 pounds.

  • Must thrive in a sometimes high pressure environment.


Work Flexibility:

After initial training, the position may allow for remote work 1-3 days per week.
