Job Description:

We are seeking a highly organized and proactive Housing Assistant Manager to join our team. This role will be instrumental in managing team operations, overseeing training initiatives, and ensuring smooth daily functioning. The ideal candidate will be someone who thrives in a fast-paced environment, is detail-oriented, and has excellent communication and leadership skills.

Key Responsibilities:



  1. Training & Development:

    • Develop and maintain the Startup Booklet, ensuring all new team members have the resources they need for a smooth onboarding process.
    • Facilitate weekly training sessions during the off-season to ensure team members remain up-to-date on policies, procedures, and expectations.
    • Assign individualized training tasks to team members, ensuring each person has the right support and development opportunities.


  2. Time Off Management:

    • Oversee and manage the time off calendar, ensuring all requests are handled promptly and effectively.
    • Ensure coverage and appropriate scheduling during peak times or team absences.


  3. Email & Communication Management:

    • Sort and manage the housing inbox, ensuring prompt responses and accurate sorting of inquiries.
    • Manage team members' emails and communications when they are out of the office, ensuring continuity of work and client service.


  4. Escalation Handling:

    • Take and manage internal and external escalations via phone or email, providing resolutions or directing them to the appropriate team member.


  5. Operational Improvements:

    • Identify areas for refining operations and work on implementing strategies to improve efficiency and team effectiveness.


  6. Team Support:

    • Conduct biweekly 1-on-1 meetings with team members to track progress, address concerns, and provide guidance.
    • Offer day-to-day support for the team, assisting with tasks and problem-solving as needed.


  7. General Housing Management:

    • Oversee GM Tech housing operations, ensuring that housing needs are met in a timely and organized manner.


  8. Work Hours:

    • Be available for Startup hours from 7 AM to 5 PM, and be present during Manager hours from 9 AM to 6/7 PM, staying as long as necessary to ensure team members have completed their tasks.


  9. Team Leadership:

    • Direct and manage the housing administration team, offering support, feedback, and guidance to ensure smooth operations.




Qualifications:



  • Proven experience in operations management, training coordination, or a similar role.
  • Strong communication skills (both written and verbal).
  • Ability to manage time effectively and handle multiple tasks simultaneously.
  • High attention to detail with strong organizational and problem-solving abilities.
  • Experience with managing and coaching teams is preferred.
  • Ability to manage sensitive information and escalate issues appropriately.
  • Comfortable with technology and various communication platforms.
