What You Will Do:
As the executive assistant, you will support to in-house legal team and VP Human Resources with respect to core administrative responsibilities, as well as special projects, with particular responsibility for processing payments, corporate record compliance, scheduling, safety leadership and tracking of all legal training. Other duties include:
- Provide administrative support to in-house attorneys, as needed, by facilitating the execution and filing of contracts and other legal documents. Administrative responsibilities also include accounts payable; detailed reporting and input/maintenance of in-house tickler system, in-house legal training, CLE training, and corporate records.
- Provide administrative support to VP HR, including reconciling expenses, scheduling travel etc.
- Provide administrative support to Risk Manager/Americas, as needed. Responsibilities include accounts payable, file management.
- Maintain a current and historical database of all corporate records and files for litigation purposes. Responsible for the scanning and preservation of permanent legal records. Assist other departments with scanning and preservation requirements.
- Maintain a current Certificate of Authority of Notary Public, and provide notarization of company documents, as required
- File, monitor and maintain Dyno Nobel databases related to training, litigation and corporate records, to provide accurate and current information as required, by continually monitoring incoming data and updating database records on a regular basis.
- File, monitor and maintain Dyno Nobel legal database relating to accounts payable for budget, audit and litigation purposes
- Organize and oversee annual record review day. This includes working with all departments within corporate to assist with compliance issues. Also assist Dyno Nobel sites with record review questions/preservation/destruction.
- Coordinate Legal and HR team meetings to provide a forum for discussion. Responsible for organizing meeting times and invitations and providing key documents and information to team members (such as meeting agendas, minutes, and action items)
What We Offer
- Bachelor's degree in business discipline.
- 5+ years experience in professional field with record compliance emphasis.
- Microsoft Office products, including Word, Excel and PowerPoint.
- SAP Experience preferred.
- Strong organizational and leadership skills and attention to detail
- Multi-tasking and prioritization abilities.
- Communication and composition skills.
- Flexibility with time management, and the ability to work under pressure.
- Self-motivation and willingness to learn new skills and adapt to different types of projects, as required.
